About the Role
As our Administration Officer, you will be the welcoming first point of contact for clients, visitors, and staff, ensuring smooth daily operations across reception, office administration, property coordination, event management, and executive support.
No two days will be the same!
You will play a key role in:
Being the welcoming face and voice of our organisation at reception
Managing appointments, client data, and systems with precision and care
Coordinating meetings, travel, and events like a pro
Supporting executives and the wider team with admin excellence
Managing onboarding and offboarding requirements
Ensuring our office runs like a well-oiled machine!
What We Are Looking For
You are a detail-oriented multitasker who thrives in a people-centered environment. You have a proactive mindset, can handle sensitive information discreetly, and take pride in delivering outstanding service. You are welcoming and friendly, creating a positive first impression and making our clients and staff feel at ease.
Essential Criteria:
Demonstrated experience working in an administrative and/or reception role within a similar environment
Demonstrated experience with the Microsoft office suite of products
Excellent organisational and time management skills
Ability to prioritise and manage multiple and competing work tasks and deliver to agreed deadlines
Ability to work independently with limited supervision with a high level of initiative
Demonstrated understanding of principles of quality customer service, courtesy and professionalism.
Well-developed verbal and written communication skills
Familiarity with phone systems and records management processes advantageous
Working knowledge of Medicare and other health systems desirable
Experience using G Suite of products desirable
Experience using online client management systems desirable
