The Opportunity
This is a critical support role within DeadlyScience, a not-for-profit dedicated to delivering STEM resources and mentoring to First Nations schools. We are looking for a skilled and proactive Administrative Officer to play a key role in ensuring our people, systems, and leaders operate smoothly. Reporting to the Chief Operating Officer (COO) , you will be instrumental in supporting our operational rhythm, spanning general office administration, HR process support, travel and event logistics, training coordination, and executive assistance. This position offers you the opportunity to make a meaningful impact within a purpose-driven organisation.
What You'll Be Doing
As our Administrative Officer, your core responsibilities will include:
Office & Systems Administration:
Serving as front-of-house, handling phone and inbox triage.
Maintaining office supplies and the assets register.
Preparing Board packs, taking minutes, and formatting documents.
HR Administration:
Drafting employment contracts and variation letters from templates.
Maintaining HRIS / personnel files, WWC, and NPC registers.
Coordinating onboarding checklists and probation reminders.
Collating timesheets and leave forms for payroll cut-off.
Travel & Event Logistics:
Booking flights, accommodation, and ground transport within budget.
Preparing detailed itineraries and risk assessments (especially for remote travel).
Sourcing venues and catering for workshops, conferences, and the AGM.
Training & Compliance Scheduling:
Maintaining the annual training calendar (cultural safety, child safety, WHS).
Enrolling staff, tracking completions, and filing certificates.
Liaising with RTOs for accredited courses (e.g., First Aid).
Executive Assistance:
Managing diaries and preparing briefing packs for the CEO, COO, and Head of Partnerships & Fundraising.
Drafting routine correspondence and presentations.
Performing expense reconciliation and credit-card acquittals.
Data, Reporting & Continuous Improvement:
Collating monthly KPIs for the COO dashboard.
Maintaining the contract register and policy review timetable.
Suggesting process improvements and documenting SOPs.
What You'll Bring
We are seeking a highly motivated and exceptionally organised individual to be a cornerstone of our Support Office team. To thrive in this critical role, you will need:
Essential Qualifications & Experience:
Education: Certificate III-IV in Business Administration (or equivalent experience).
Experience: 2+ years in a multifaceted administrative role, ideally supporting senior management.
IT Proficiency: Confident with Google Systems, Xero (or similar finance system), HRIS (preferably Employment Hero), CRM (ideally Salesforce), Work Management (ideally Smartsheet), Knowledge Management (ideally confluence)
Compliance: Current NSW Working with Children Check (or ability to obtain), National Police Check within the last 12 months, and a valid Australian driver's license.
Desirable Attributes:
Lived experience or strong understanding of First Nations cultures and protocols.
Event management or travel coordination background.
Minute-taking / Board secretariat experience.
