We are currently on the lookout for a self-motivated and enthusiastic Client Services Officer to provide professional administrative support to our friendly team of Financial Planners at our Toowoomba office. In this client facing role, you'll be working closely with the Financial Planners to build and maintain relationships with new and existing clients and respond to general client queries and requests.
The person we are seeking will have excellent communication and administrative skills. This position involves engagement with our clients, the advice team, and service providers. It also includes working closely and providing administration support to all team members.
Duties will include: -
Supporting the financial advisers and team members in their day-to-day tasks.
Providing an exceptional client experience in all interactions with our clients and responding promptly to their enquiries.
Monitoring the diaries, arranging, and confirming client meetings.
Follow up on yearly client reviews and renewals; and preparing the review documentation for these client meetings.
Liaising with clients, advisors, product providers and other third parties for research and information gathering.
Implementation of advice including following through applications from beginning to end.
Provide other ad hoc general administrative and client service responsibilities as required. Processing all requests for clients and advisers by appropriate deadlines.
Handle compliance tasks, including preparing and sending out service agreements and other paperwork.
Work with internal systems such as Xplan and Microsoft Office for document management and reporting.
Accurately recording and updating information into our customer relationship management systems and databases.
Accurately maintaining and filing of client files and documents.
Maintain professional relationships to product providers.
Maintaining a high level of accuracy, compliance, privacy, and confidentiality.
Adherence to practice procedures, licensee policies and regulatory legislation.
Experience in a financial planning environment will be favoured but are not essential.
Sound computer skills including the Microsoft Office Suite is required. Experience in financial planning software, while not essential, would be favourable.
The successful individual will also be required to demonstrate:
Excellent organisation skills and attention to detail.
Critical thinking skills.
A high level of accuracy and time management skills to ensure the timely implementation of the review process.
An ability to take ownership of their duties and processes and the ability to meet workflow deadlines.
