We’re a dynamic and supportive team based in Burleigh Heads and we’re looking for a highly organised, motivated and detail-driven individual to become our Client Services & Office Administrator.

About the Role
As our Client Services & Office Administrator, you will be a central pillar in keeping our operations running smoothly. This is a multifaceted role requiring excellent communication, time management, and administrative skills and drive to deliver high quality.
You will liaise with clients and staff, manage daily office operations, provide accounting and logistics support, and ensure compliance processes are followed. This role is ideal for someone who thrives in a fast paced and fun environment and takes pride in delivering exceptional service with accuracy and care.
Key Responsibilities
Provide exceptional service and support to clients via phone, email, and CRM systems
Coordinate meetings, schedules, and appointments for key team members or book office repairs or servicing
Manage inventory, office supply procurement, and vendor liaison
Assist with accounts payable, receivable, invoicing, freight collections, reconciliations, and expense tracking
Maintain filing systems and accurate digital records
Collaborate with finance on monthly reporting
Support planning of internal and external company events
Ensure office compliance with GMP and ISO 22716
Regular use of platforms including:
Asana, MYOB, Shopify, Google Workspace, Vtiger CRM, FedEx/Aramex/AusPost Portals, Thinkific, WordPress
What You’ll Bring
Essential:
Diploma in Business Administration or relevant equivalent experience
Minimum 3 years’ experience in administration, accounts or client service roles
Proficiency in Microsoft Office and Google Workspace
Familiarity with accounting functions (AR/AP) reporting and reconciling
High attention to detail and exceptional organisational skills
Strong verbal and written communication
Ability to maintain confidentiality
Valid driver’s license + vehicle
Desirable:
Previous experience in a cosmetics, beauty, or training company
Familiarity with compliance (e.g., GMP, ISO)
Experience with CRM systems and online learning platforms
