About the Role:

We’re looking for a full-time Invoicing & Administration Officer to join our growing team. This role is perfect for a detail orientated person who loves crossing t’s, dotting i’s, and keeping the wheels turning behind the scenes — all while working with a great bunch of people.

Your core responsibilities will include:

Preparing and issuing accurate invoices based on completed jobs.

Creating and sending small quotes, using pre-built templated pricing.

Following up on outstanding quotes and communicating with clients where needed. We have standard processes and scripts to make this simple.

Managing supplier returns and coordinating credit claims.

Assisting with warehouse and technician vehicle inventory (stock levels, tools, materials).

Uniform purchases.

What We're Looking For:

Minimum 2 years’ experience in a similar role.

Previous experience in invoicing and admin roles (preferably in the electrical/HVAC trade or construction industries).

Familiarity with job management software like simPRO (bonus points if you’ve used it before).

Great time management and ability to prioritise tasks.

Clear, friendly, confident, and calm – on the phone, over email, and under pressure

A proactive, can-do attitude - think ‘glass half full’

Someone who thrives in a young, fast-paced, and high-performance team.

High attention to detail – please include ‘HATD’ at the bottom of your cover letter to show you’ve read this ad carefully.

A self-starter who takes ownership and pride in their work.

Great communicator (written and verbal) with clients, tradies, and suppliers.

Tech savvy and can pick up systems fast (we use SimPro, Xero, Google Workspace to name a few!)

Bonus Points If You Have:

Prior experience in the electrical, HVAC, or trade service space.

Experience with supplier processes, fleet/vehicle management, or warehouse operations.
