Overview:
We are seeking an organised, proactive, and detail-oriented Practice Manager to oversee the daily operations of our small but dynamic intellectual property (IP) firm. The successful candidate will play a crucial role in managing administrative functions, coordinating staff, supporting fee earners, and ensuring seamless service delivery to our clients.
Key Responsibilities:
Oversee day-to-day operations of the firm, ensuring efficiency and compliance with firm processes, legal and regulatory requirements.
Manage diary scheduling, client communications, and file management for attorneys and paralegals.
Supervise administrative staff; provide support, training, and performance reviews.
Provide back up support to administrative staff as required.
Assist with billing, invoicing, and monitoring client accounts, including financial reporting.
Implement and maintain firm-wide policies and procedures, focusing on best practices for confidentiality, data security, and quality control.
Support business development initiatives, manage marketing materials, and assist with client onboarding.
Oversee deadlines for IP filings (trademarks, patents, renewals) and ensure timely reminders to relevant staff.
Coordinate with external vendors (IT, accounting, HR) and manage office supplies and resources.
Troubleshoot operational challenges and provide solutions to streamline workflows.
Skills and Qualifications:
Proven experience in intellectual property firm.
Proven experience in a legal practice manager role.
Strong leadership, communication, and organisational skills.
Proficiency in office management software, legal management systems, and accounting programs.
In-depth understanding of legal processes, billing, and IP-specific deadlines.
Ability to work independently, manage competing priorities, and develop effective processes.
Preferred:
Experience as a practice administrator or legal secretary advantageous.
Experience with intellectual property management software and e-filing systems.
Relevant qualifications in legal administration, business management, or a related field.
