The Role

We're looking for a Sales & Project Coordinator to join our team, based in Cairns. In this role, you’ll manage sales inquiries and coordinate small-scale synthetic grass and commercial works from start to finish. You’ll work closely with clients, prepare quotes, coordinate project delivery, and ensure each job is completed to the high standards Advantage Sports is known for.

Key Responsibilities

Sales & Client Engagement

Manage incoming sales leads for domestic and small commercial synthetic grass projects.

Meet clients in-office and on-site to assess and sketch proposed works.

Prepare and present quotes, conduct timely follow-ups, and close sales.

Maintain professional, responsive communication at all stages.

Represent the business at trade shows and industry events.

Stay up to date on products and procedures to provide accurate advice.

Site Inspections & Quoting

Carry out detailed site inspections and accurate measurements using standard forms.

Produce neat, scaled site plans and take comprehensive site photos.

Collaborate with estimators to ensure accurate scoping and pricing.

Prepare clear, well-formatted quotes, including inclusions, exclusions, and assumptions.

Ensure all documentation is completed, saved, and shared in a timely and professional manner.

Project Scheduling & Procurement

Plan job schedules and allocate staff to meet deadlines.

Update schedules in Basecamp and keep clients informed of any changes.

Order materials, subcontractors, and equipment via MYOB.

Confirm all materials meet project specs before work begins.

Project Start-Up

Conduct pre-start inspections and ensure the site is ready.

Prepare installation packs with materials list, site plan, WHS, and project info.

Host on-site start-up meetings with installers.

Project Delivery & Supervision

Be the main point of contact for all site communication.

Oversee site progress, safety, and quality with hands-on supervision.

Coordinate delivery of staff, materials, and equipment.

Handle variations professionally—document, price, and get approvals before starting.

Keep all stakeholders informed and resolve any issues quickly.

Project Completion

Conduct final site inspections and ensure work meets client and company standards.

Organise handover, fix any defects, and leave the site clean and tidy.

Return unused materials and organise warehouse storage.

Finalise documentation and submit all project records to accounts.

Follow up with clients post-completion to ensure satisfaction.

General Duties

Attend team meetings and training sessions.

Open/close the office and warehouse as required.

Answer phone calls and represent the business professionally.

Support colleagues and contribute to a positive team culture.
