The Opportunity
This role is ideal for someone who thrives on structure, order, and thoroughness. At any one time, you'll be working across a dozen client files, each involving multiple projects, stakeholders, and documentation streams. Your ability to track, follow up, and coordinate documentation from various sources will directly impact the success of each engagement.
You’ll not only review and evaluate client-provided documentation for compliance with legislation and regulatory requirements—you’ll also own the systems that ensure every document, response, and follow-up is tracked, recorded, and retrieved with precision.
Key Responsibilities
- Review and assess client-provided documentation to determine compliance with relevant legislation and regulatory guidelines
- Coordinate and manage complex documentation workflows across internal and client-facing projects
- Maintain meticulous records of all data requests, including when they were sent, to whom, by what method, and what responses have been received or remain outstanding
- Analyse and categorise project documentation to support eligibility, audit-readiness, and project decision-making
- Design and maintain logical, scalable filing systems for efficient access and version control
- Engage clearly and confidently with clients and stakeholders—including technical experts and project managers—to request, clarify, and validate information
- Identify process gaps and proactively implement improvements in documentation and compliance workflows
What You’ll Bring
- 3–5 years’ experience in project administration, legal administration, paralegal work, or a compliance-heavy role within a professional services or advisory firm
- Demonstrated ability to manage multiple client accounts and concurrent projects with varying documentation requirements
- Proven track record of maintaining detailed and accurate records of follow-ups, outstanding items, and client communications
- Strong analytical skills with the ability to interpret and structure complex information
- Excellent communication skills and emotional intelligence—able to influence, clarify, and follow up without friction
- A methodical, process-driven mindset with high attention to detail and a drive to “close the loop” on every task
Salary & Benefits
$70,000 – $80,000 + Superannuation
