The Role

The APS 5 Project Support Officer provides critical administrative and project coordination support to the Executive Office of the UAS Program Office (UASPO). Reporting directly to the Executive Officer, the role enables the smooth operation of UASPO’s strategic and day-to-day activities by delivering high-quality project support across all UAS programs. This includes assisting with program reporting, scheduling, stakeholder coordination, governance administration, and document management in a fast-paced and evolving environment.

Key Duties:

  • Provide project and administrative support across all UASPO programs, under direction of the Executive Office.
  • Coordinate inputs for regular program reports, governance packs, ministerial briefs, and other documentation.
  • Maintain project records, registers, and filing systems, ensuring documentation is version controlled and aligned with departmental policies.
  • Support the scheduling and coordination of meetings, workshops, and governance forums, including agenda preparation, minute taking, and action tracking.
  • Assist with procurement and contract support tasks such as coordinating documentation, liaising with internal enablers, and tracking deliverables.
  • Communicate professionally with internal stakeholders, contractors, and external agencies, ensuring timely follow-up on tasks and correspondence.
  • Monitor inboxes, track taskings, and ensure timely responses and appropriate escalation within the Executive Office.
  • Contribute to process improvements and documentation standardisation across the SPO.

This role has been identified as requiring access to International Traffic in Arms Regulations (ITAR) controlled technology. The ITAR is United States (US) law which regulates defence articles, including technical data, and defence services on the United States Munitions List. Access restrictions may apply on the basis of currently held/previously held citizenship, as well as current permanent residency.

Defence may be able to utilise workforce exemptions to mitigate these restrictions, which generally requires that applicants provide details of all current citizenships and permanent residencies, as well as previously held citizenships. Defence collects these details to confirm an applicant’s eligibility for the role and to maintain compliance with international obligations.

  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and document management systems.
  • Demonstrated ability to work as part of a multidisciplinary team and build productive relationships across varied stakeholders.
  • Sound judgement, discretion, and the ability to work with sensitive or classified information.
