Event Coordinator

Salary: $ 35 – 40 per hour (dependent of experience) + super

Permanent part-time: 24 – 28 hours per week (Monday – Friday) or as agreed with the Venue Manager based on bookings of functions and events.

About Tompkins (Tompkins Park Community and Recreational Association)

Tompkins is an Association for the promotion and support of recreational, social, sporting, cultural and community members within the City of Melville and adjoining areas. The Association has some five thousand (5,000) plus members who comprise members of affiliate and associate sporting clubs, as well as the wider community.

Tompkins is a not-for-profit organisation which was formed in 1998.

Tompkins currently operates a club bar, restaurant facilities and hosts functions and events from its various function rooms.

About the role

The Event Coordinator will be a key member of the ‘Tompkins’ team who will work closely with Venue Manager to ensure proactive sourcing of new bookings and to facilitate return or repeat bookings.

The Event Coordinator will assist customers with planning, coordination and deliver corporate, club and member functions and events, as necessary. The Event Coordinator will also be required to achieve marketing targets and deliver customer satisfaction.

Reporting to the Venue Manager, your duties will include, but are not limited to:

Events:

Ensure all functions and events are compliant with the Responsible Service of Alcohol and Liquor Licence conditions as required.

Ensure that all functions and events achieve the minimum required % profit margin.

Manage the planning and execution of functions and events, which includes but not limited to theming & decorations, seating allocations, floor plans etc.

Support the Head Chef in menu planning and dish costing as required.

Support the Venue Manager in the management of detailed scheduling and forecasting, develop and maintain event calendars and produce monthly and annual function and event reports.

Support the Venue Manager in ensuring an effective cost-efficient approach is used to execute and administer all functions and events.

Marketing and Business Development:

Ensure the active promotion of Tompkins, including but not limited to social media, marketing, internal and external signage, and on-screen promotions (in house media).

Develop business initiatives and collaborate with local community, sporting groups, businesses and schools promoting functions and casual patronage.

Proactively look for new opportunities to promote business activities.

Support the Venue Manager & Head Chef, encourage feedback from patrons and customers to enhance the al la carte and function menus.

Support the Venue Manager to carry out an any quality and performance initiatives i.e. surveys or feedback initiatives.

Lead and manage all function and event issues, including complaints, investigations, and improvement actions.

Build rapport with all internal and external stakeholders.

Develop positive relationships with the community.

Reporting:

Analysis, interpret function and event results.

Provide feedback on lessons learned and improvement opportunities as necessary

Develop, review and update policies and procedures as required

Provide to the Venue Manager monthly function and event reports on financial and operational performance, including performance against agreed KPIs.

Present to the Board on a quarterly basis, a report or overview on function and event performance, future planning, and performance against agreed KPIs.

Qualifications, Skills & Experience

The Event Coordinator will have:

Proven experience (2-3 years minimum) in an Event or hospitality management role.

Passion for customer service.

Excellent verbal and written communication skills with strong attention to detail.

Ability to demonstrate organisational aptitude and project management skills.

Ability to meet tight deadlines.

Ability to function under pressure and manage various tasks concurrently to achieve successful outcomes.

Strong administrative, financial and IT skills to ensure accurate administrative and financial reporting occurs to the Venue Manager.

Ability to use initiative to identify, present and implement new processes and procedures which add value.
