Practice Manager – Real Estate Agency

Part-Time and Flexible (25 hours per week over a minimum 3-days)

Location: Warrnambool

Reports To: Director and General Manager

Position Summary:

We are seeking a highly organised and proactive Practice Manager to oversee and coordinate the daily operations of our real estate Offices (Warrnambool and Port Fairy) and Property Management Team. This role is ideal for someone with broad administrative skills and demonstrated experience in people management. Experience in the real estate industry is preferred although not essential.

The role will include:

Office Operations:

Manage the day-to-day operations of the agency, including office administration and workflow coordination (rostering, staff support)

With support, ensure compliance with relevant legislation and industry regulations (e.g., licensing requirements, OH&S)

Staff & Resource Management:

Support the Director and General Manager with HR functions, including onboarding, training, scheduling, and performance coordination

Maintain team communications, calendars, and meeting agendas

Systems & Technology:

Troubleshoot basic IT issues and liaise with external service IT providers

Customer Service & Communication:

Act as a point of contact for internal and external stakeholders - including new business.

Handle escalated client queries and ensure high standards of service delivery

Prepare correspondence, reports, and documentation as required

Requirements:

Proven experience in a practice, office, or operations management role (real estate experience preferred)

Strong understanding of real estate agency compliance (or willingness to learn)

Excellent organisational, problem-solving, and communication skills

Proficient in Microsoft Office, cloud platforms (e.g. Outlook) and familiar with evolving technology and appropriate use of AI for day-to-day (Chat GPT, Canva)

High level of discretion, integrity, and attention to detail

Desirable Qualifications:

Certificate IV in Real Estate Practice (or equivalent)

Experience with property management or sales administration

HR background is a plus
