The Shire of Kojonup are recruiting a Customer Service Officer to join our team on a part-time basis. The ideal candidate will be technologically literate, have a can-do attitude and ensure that providing a positive customer experience is at the forefront of what they’re doing at all times.

You will be responsible for Department of Transport client transactions, general administration tasks, supporting other departments’ functions and always providing exceptional customer service.

The successful candidate must be able to attend training in Perth with the Department of Transport for one (1) week, and the necessary expenses associated with attending the training will be reimbursed. In-house training will be provided for all other duties, and you will have ongoing access to the team for support and guidance.

Play an important role in the daily operation of the Shire of Kojonup and in supporting the community

The key responsibilities of this role are to

Clerical

Act as the first point of contact for all customer enquiries via face-to-face, telephone and written correspondence and where appropriate refer to other team members, and/or initiate appropriate action and support

Collection of incoming mail including assisting the Records Officer as required

Undertake the processing of outgoing mail including assisting the Records Officer with recording prior to lodgement at the post office

Carry out Department of Transport (DoT) processes including licensing registration records, stationery, registration plates, digital-imaging camera supplies etc…

Attend to the hiring of various Shire properties and facilities by customers, ensuring correct booking of dates and payments are made prior to the day of hire

Attend to processing of Dog and Cat Registrations and maintain relevant database.

Cashiering

Process the daily receipting of all monies received in person and by incoming mail

Prepare bank lodgement of daily monies received

Be accountable for all monies received in person and by incoming mail being lodged at the bank

Attend to the daily filing of all cash receipts and associated documentation.

General duties

Always maintain exceptional customer service

Undertake filing of organisational paper records at least weekly, in relation to customer service tasks

Ensure that the Australia, State and Shire of Kojonup flag are raised and lowered each working day and, on those occasions of a funeral or Federal or State Government requirement, are lowered to half-mast as per established protocols

Monitor the maintenance of current notices on the official Notice Board and Administration Building window and ensure that the after-hours receival box is emptied daily

Ensure that all photocopiers have adequate paper and that other stationery are replenished in a timely and efficient manner when required

Maintain the front foyer including maintaining appropriate levels of general information in the form of pamphlets and flyers and ensure general tidiness of the area

Ensure all statutory requirements (and where applicable Council policies) relating to customer service are met with compliance

Laise with the Chief Executive Officer, Executive Managers, Team Members, the Public and Public Authorities on matters required to maintain administration standards at the Shire of Kojonup

Attend to the Kojonup Library customer service counter if member of the public requires support and the counter is otherwise unattended

Any other duties as directed by the Manager Finance, Corporate & Community of Chief Executive Officer with respect to skills and abilities.

Essential criteria

Exceptional customer service skills

Developed oral and written literacy and numeracy skills

Advanced technology skills

Experience using Microsoft Office Suite

Ability to follow instructions and carry out tasks autonomously

Ability to work cooperatively and effectively in a team-based environment

Strict adherence to Work Health and Safety policies and procedures

Desirable criteria

Experience in an Administration or similar role

Experience working in a Local Government

Experience in a customer facing / customer service role

Qualifications and/or training

Current Working with Children Check

Employment offer

This role will be offered on a casual basis at an hourly rate of $27.71 per hour plus compulsory superannuation in accordance with the Superannuation Guarantee Legislation Act 1992.

The successful candidate must be available on Monday and Thursday between 8:00 am and 5:00 pm with the option of picking up additional hours to cover annual and personal leave within the team.
