This role is a Mon-Fri role and approx 5-6 hours per day (e.g. could be school hours for a parent). 30 hours per week.

As our NSW Office Manager, you’ll be the backbone of our office operations. You’ll take care of everything from ensuring the head office runs smoothly to supporting the leadership team with their day-to-day administrative needs. It’s a varied, fast-paced role where you’ll have a direct impact on the team’s productivity and overall success. Here’s what you can expect:

Office Management Duties:

Day-to-Day Operations: Oversee the smooth operation of the office, keeping everything organised and efficient. You’ll be the go-to person for anything that needs attention—whether it’s managing office supplies, coordinating repairs, or organising the office space.

Vendor & Supplier Management: Maintain relationships with vendors and suppliers to ensure the office is well-stocked and any services (cleaning, maintenance, etc.) are properly managed.

Facilities Management: Ensure the office environment is comfortable and safe. You’ll coordinate with building management, organise any office repairs, and help implement health and safety measures. You will manage cars for the sales team, insurance files, and so on.

Budgeting & Expense Tracking: Monitor office-related expenses and assist in staying within budget. You’ll help identify opportunities for cost savings and ensure we’re getting the best value from suppliers and service providers.

Team Support: Provide logistical support for staff, making sure everyone has what they need to succeed, whether it’s organising materials for meetings, ordering supplies, arranging customer samples or coordinating office events.

Event Planning: Organise company events, team-building activities, and celebrations. You’ll handle everything from finding venues to coordinating catering and ensuring everything runs smoothly.

Supporting Leadership team:

Calendar & Schedule Management: Manage the calendar for the CEO coordinating meetings, appointments, and travel arrangements.

Travel Coordination: Organise travel plans, including booking flights, accommodation, and transportation for the leadership team. You’ll make sure every detail is in place for domestic and international trips.

Meeting Support: Help prepare for leadership meetings by co-ordinating and organising agendas, gathering materials, and taking minutes if required. You’ll also ensure that the CEO and management team are well-prepared for all meetings.

Communication Liaison: Act as the first point of contact for internal and external communication on behalf of the CEO, managing emails, calls, and other correspondence efficiently.

Document Preparation & Editing: Assist with the creation and review of key business documents, reports, and presentations. You'll make sure everything is clear, accurate, and professionally presented.

Finance checking and assistance: You will check receipts and invoices for purchases you have assisted in and ensure that the AP team have received receipts and will assist in making sure Leaders have provided the same for their corporate cards.

Payroll cover: You may occasionally step in to provide payroll assistance and cover e.g. when the People & Culture Leader is on leave and will ensure that pay runs are completed seamlessly by ensuring you are across the process, reporting and checking.

Special projects: You will lend a hand to ensure key timelines, milestones and activities are completed on special projects that feed into fostering a positive work culture or meeting company objectives.

Who You Are:

We’re looking for someone who thrives in a fast-paced environment, loves problem-solving, and takes pride in keeping everything organised. If you’re proactive, detail-oriented, and enjoy wearing multiple hats, you’ll be a great fit for our team. Here’s what we’re looking for:

Experience: At least 3-5 years of experience in an office management or administrative role, with some experience in payroll activities. Previous experience in a dynamic or fast-growing company is a plus.

Skills:

Organisational Excellence: You know how to juggle multiple tasks and prioritise effectively to make sure nothing falls through the cracks.

Communication: You’re a strong communicator, both written and verbal, and can easily liaise with people at all levels of the organization.

Tech-Savvy: Comfortable using Microsoft Office (Word, Excel, PowerPoint, Outlook) and Teams. Familiarity with accounting software, HR software (e.g. Employment Hero) or Netsuite is a bonus.

Attention to Detail: You’re meticulous in your work, ensuring that everything is done to a high standard, whether it’s managing the office or supporting senior leadership.

Initiative: You will work autonomously and look for areas where you can provide assistance and drive efficiencies.

Self-Starter: You don’t wait for instructions—you spot problems and take action to solve them.

Team-Oriented: You’re always looking for ways to make life easier for the team and support your colleagues.

Confidentiality: You understand the importance of confidentiality and handling sensitive information with care and discretion.

Bonus Points (Desirable but not Required):

Experience in the sustainable packaging industry.

Event planning experience or a passion for organising fun activities.
