Located in front of one of the most iconic coastal views on the Central Coast, Umina Surf Life Saving Club (SLSC) has proudly served the community since its founding in 1959. Our club is a well-respected and socially responsible organisation, dedicated to safeguarding one of the most popular beaches on the NSW Central Coast.

With a dynamic and growing membership base, Umina Surf Life Saving Club has proudly provided voluntary surf lifesaving services to our community for over 60 years.

At Umina SLSC, our focus is on our members supporting the development of individual skills, fostering confident and capable surf lifesavers, and reinforcing the Club’s essential role within the community.

As the Central Coast’s population continues to grow, Umina Beach remains a premier destination, attracting more than 300,000 visitors each season.

We offer a diverse range of programs for members of all ages—from Nippers and youth development to active lifesaving and competitive surf sports.

About your new role

Based at our surf club overlooking beautiful Umina Beach, the Administration Officer plays a vital role in supporting our members, volunteers, and broader community. As the first point of contact for the public, this role ensures a welcoming, professional, and efficient experience for all who engage with the Club.

Reporting to the volunteer Director of Administration, the Administration Officer works closely with the Director of Finance and provides essential administrative support to the Club’s leadership team, including Directors of Lifesaving, Education, Surf Sports, Junior Activities, and Facilities.

We are seeking a motivated and highly organised individual to join our team. This role is key to the smooth day-to-day operations of the Club and supports a wide range of activities and programs across all levels of involvement.

This is a part-time position of 18 hours per week, over 3 days with occasional overtime as required.

Your responsibilities

Office management

Answer and ensure telephone is always attended when on duty.

Collate, produce and distribute the members newsletter

Update and maintain Surfguard (our membership system).

To collect, collate and record all incoming and outgoing mail via correspondence spreadsheet

Administration

To prepare and despatch all correspondence, mass mail and any associated member literature or other literature.

Collation, production and distribution of minutes/agenda from any meetings held by the club.

Collect/Distribute Mail

Website Administration/updates

Social media/maintaining office programs

Reminder SMS to Patrols, Patrol substitute requests, Bar Duty and SIPS each week

Order Stationery, Uniforms, equipment, manuals, etc

Child Safety Compliance

Child Protection officer

WWC checks/maintenance

Maintaining W H & S procedures/records

Distribute award certificates to patrols as required

Organise All Presentations/Awards at end of season

End of season compliance-Administration & Financial (ACNC/Fair Trading/A12/9)

Collate & Complete Annual report for AGM

Nipper Attendance sheets (Some Age Groups) Via App

Help organise Club /Directors’ meetings.

Organising Registration/Open Days

Maintaining Memberships /Registrations/Transfers (SG) - Club Registrar

Accounts support

Bank approvals and payments

Invoicing/Receipting in Xero

Check kitchen and bar sheets

Eftpos Reconciliation

Banking – collection of function payments, registrations, carnival entries, bar/kitchen sales, misc, etc.

Accounts payable/receivable

Your skills and experience

Professional, honest, and trustworthy

Previous experience in a standalone role in administration or similar

Strong communication skills

Effective time management and organisational skills

Strong knowledge of Microsoft office essential, knowledge of Xero, knowledge of Surfguard would be highly desirable, knowledge of Word Press for Website Administration

An understanding of Surf Life Saving in general is highly desirable

Ability to work unsupervised.
