MAYDAY Recruitment is representing an exciting opportunity for a high-level Executive Assistant to join a prestigious accounting and advisory firm based in Melbourne’s CBD. This is a 9-month fixed-term contract.

📍 Location: Melbourne CBD
💰 Salary: $125,000 package (pro rata)
🗓 Start Date: 25th August or 1st September
🤝 Contract Type: 9-Month FTC, with potential to go permanent

In this pivotal role, you will support the Managing Director and Director and play an integral part in keeping the business running smoothly. This is ideal for a polished and proactive EA with experience supporting senior executives within a professional services firm, who thrives in a fast-paced, busy environment where no two days are the same.

What You’ll Be Doing:

  • Manage inboxes for two senior Directors – filtering, responding, and flagging urgent items
  • Complex diary management and scheduling of internal/external meetings
  • Organise and prepare for meetings, including collating papers and conducting research
  • Liaise with reception and staff for catering and client meeting logistics
  • Schedule international conference calls and ensure relevant team members are informed
  • Manage inbound calls and correspondence on behalf of the Directors
  • Draft and revise client correspondence, engagement letters, and invoices
  • Coordinate all domestic and international travel (including global conference registrations)
  • Plan and execute internal events, including EOFY and Christmas functions
  • Attend meetings to take minutes and track follow-up actions
  • Maintain efficient electronic and physical filing systems
  • Provide broader administrative and operational support to the leadership team

What We’re Looking For:

  • Previous experience supporting C- or senior leadership
  • Must have Professional services, or accounting background
  • Proficient in either APS, Xero, Fuse Sign, and invoicing systems
  • Strong organisational, communication, and multitasking abilities
  • Experience with international coordination (travel, calls, client comms)
  • High level of discretion, initiative, and attention to detail
