Marketing & Executive Coordinator

We’re seeking a sharp, proactive, and highly organised individual to join our fast-growing performance marketing agency and support the launch of a new consumer brand, among other mission-critical tasks. This dynamic role blends executive support, marketing project management, and operations coordination, working directly with the founder to drive key initiatives and streamline operations.

We’re looking for someone who can take ownership, bring structure to a fast-paced environment, and help build something extraordinary. You’ll function as the Founder’s Right Hand and be the driving force that turns bold ideas into reality, shaping the future of our agency and brand with your energy and ingenuity.

What You’ll Do

Executive Support (50%)

Manage the founder’s calendar, scheduling, and priorities to keep them focused and effective.

Handle email correspondence, travel arrangements, and meeting coordination.

Anticipate needs and resolve scheduling conflicts proactively.

Marketing Project Management (30%)

Lead key projects, such as launching a new consumer brand, testing lead generation strategies, or developing a podcast guesting programme.

Oversee recurring marketing tasks, including email newsletters, lead magnets, and social media content.

Coordinate with contractors, creatives, and team members to ensure timely delivery of campaigns.

Systems & Operations (20%)

Build and refine workflows using tools like Notion, Google Suite, and project management platforms.

Identify inefficiencies in processes and implement improvements proactively.

Maintain organised documentation and systems to support team scalability.

What You Might Look Like

There’s no one-size-fits-all background, but you might be:

A former marketing project manager, operations coordinator, or senior executive assistant with experience in fast-paced, founder-led businesses.

Someone who’s managed marketing or e-commerce projects and knows how to deliver results.

Proficient in Notion, Google Suite, and project management tools; familiarity with email marketing platforms (e.g., Klaviyo, HubSpot) is a plus.

Highly self-directed, with exceptional ownership and follow-through.

Calm under pressure, obsessed with systems, and naturally resourceful.

Comfortable with ambiguity and adept at problem-solving in dynamic environments.

You’ve likely worn multiple hats before, thrive in fast-paced settings, and enjoy making teams and processes run better.
