You’ll work alongside two experienced administrators and support Project Managers, our MD, and a field-based technical workforce.
This is not a “single-task” role — you’ll be involved in every part of how we run operations.
Scheduling & Project Coordination
- Work closely with Project Managers and Foremen to plan and manage forward schedules
- Use Simpro (training provided) to proactively coordinate labour, leave, training and site timelines
- Track scheduling factors that impact job delivery (e.g. leave, training days, site access)
- Ensure accurate job costing and team awareness of scheduling impacts
- Support scheduling as a critical part of the project life cycle
- May expand into supporting payroll and HR functions
Payroll & Accounts
- Process payroll under two EBAs (training provided)
- Accounts payable/receivable support
- Work within Xero for reconciliation and record-keeping
Project & Systems Support
- Use Simpro (training provided) to monitor project progress
- Track job costs, documentation, and timelines
- Think proactively about how systems and processes can improve
HR & Workforce Administration
- Assist with onboarding/offboarding, maintain role descriptions
- Help manage apprentices and workforce compliance
- Interpret and apply EBA terms (support provided)
General Operations & Improvement
- Write and update process documentation
- Support field teams with project documents and coordination
- Contribute to continuous improvement across systems and communication
What We’re Looking For
You’re someone who:
- Thrives on variety and isn’t afraid to “give things a go”
- Works well with minimal supervision and can juggle tasks
- Has a background in admin, payroll, or accounts (or is a fast learner)
- Communicates clearly and confidently
- Wants to be part of a tight-knit, high-performing team
Highly Regarded Skills (Not Essential)
- Experience with Simpro or any job/project management system
- Scheduling or coordination experience in a project-based environment
- Payroll (especially in unionised or EBA environments)
- HR experience (onboarding, compliance, workforce support)
- Process improvement or writing SOPs
- Xero or similar accounting software
- Construction / service / project industry experience
