We are seeking an experienced and personable Medical Secretary to join a dedicated breast surgery practice based at Joondalup Private Hospital. This is a part-time position (34 hours/week) with a set schedule and competitive pay. You’ll work closely with a specialist breast surgeon, playing a key role in delivering excellent care and service to our patients.
Position Overview:
Scheduling patient appointments and managing clinic calendars
Responding to patient enquiries via phone and email in a timely, compassionate manner
Coordinating regular and ad-hoc theatre lists across multiple hospitals
Managing pre-operative requirements, including obtaining documentation, organising radiology requests and approvals from patients and insurers.
Issuing invoices and managing payments from patients and insurers
Reviewing and triaging incoming correspondence
Distributing professional outgoing correspondence, including consultation letters and referrals
Supporting daily administrative functions of the practice
Weekly Schedule (33 hours):
Monday: 9:00am – 3:00pm
Tuesday: 7:30am – 3:00pm
Wednesday: 9:00am – 3:00pm
Thursday: 9:00am – 3:00pm
Friday: 7:30am – 3:00pm

Working Environment:
You will work solely for one specialist breast surgeon within a new welcoming medical suite. The suite is shared with another breast surgeon, their secretary, and a shared Breast Care Nurse. About You:
Must have previous experience in medical administration/reception/secretarial position
Proficiency with Xestro or similar medical software (will be fully orientated on how to use the program if no experience using Xestro)
Excellent multitasking, prioritisation, and time management skills
Strong attention to detail and organisational abilities
Professional written and verbal communication skills
Punctual, reliable, and proactive with a strong work ethic
Able to work independently while contributing positively to a small team
Empathetic, kind, and committed to patient-centred care
Positive and personable attitude with a willingness to learn
Familiar with booking and billing systems
A like-minded individual who fits well within a supportive and positive culture
