We are seeking a commercially minded Operations Manager/EA with a flair for small business to join this thriving legal practice in the CBD. Having worked with this business for many years, we can confidently say they are one of the most modern and progressive organisations in Sydney - made up of super sharp, down to earth individuals who work hard but also have plenty of fun and laughs along the way.
As a specialist from SME environments, you'll work alongside the Director and take the admin pain away from the business, to allow them to focus solely on client support and legal work.
This is an Ops/EA role across business operations - not a legal secretary role. You will not be involved in support work for the cases, the nature of your role will be to ensure the back office runs smoothly so the lawyers can then turn their attention more closely to specialised work.
Exposure to a legal environment previously is not required, but a willingness to become involved in their 'world' and gain a clearer understanding of how it works, certainly is.
This is a newly created role, being offered on either a full-time or part-time basis (3-4 days p/w) - starting in September 2025.
So what's involved in the day to day?
As the person who picks up the slack for everything that is NOT specialised legal work, your role will be broad and varied. This will include:
- Overseeing all 'back office" operations including accurate invoicing and general account keeping for clients.
- Updating current, and creating new systems, processes and procedures for effective work practices.
- Working alongside the Director as their right hand, clearing emails, responding to tasks that would otherwise take them away from focusing on billable hours.
- Overseeing all client related duties including organising client events, gift deliveries and all related correspondence.
- Taking care of all company social events including organising the Christmas party, lunches, gifts and celebrations for staff birthday's, anniversaries etc
- Providing support with social media, Linkedin updates and offering marketing ideas.
- General HR related matters, ensuring review dates are adhered to and maintaining accurate information relating to contracts, leave etc.
- Printing documents and ensuring digital filing is kept up to date.
- Setting alerts and reminders to handle all operations related matters - insurances, leasing, subscription fees.
- Being the 'go-to' person within the office and ensuring it runs like a well-oiled machine.
- A limited amount of time will also be devoted to a range of personal support work for the Director, on an adhoc basis.
