About the Role
We are seeking a highly competent Executive Assistant to provide direct support to the Director while managing the back-office operations of our small but busy Balmain office.
This is a full-time, in-office position (Monday to Friday, 8:30 AM to 5:30 PM), ideal for a well-organised, articulate, and experienced professional who thrives in a fast-paced and detail-driven environment.
Key Responsibilities
Provide executive-level administrative support to the Director
Manage all inbound inquiries of the entire company —via phone and email—with professionalism and clarity
Process new client orders, prepare quotations, and issue contracts and work orders
Follow up on open opportunities and convert them into confirmed engagements
Track project timelines, follow up with contractors and the Director to ensure timely delivery
Maintain efficient communication with clients, engineers, and architects
Oversee all operational systems and ensure smooth day-to-day workflow of the office
Essential Requirements
Minimum typing speed of 100 words per minute
Exceptional English language skills (first language essential)—both written and spoken
Highly proficient with office software (Microsoft Office, email platforms, CRMs, document formatting, etc.)
Experience with Microsoft Dynamics CRM and Automation within MS365
Strong ability to multitask, prioritise, and manage time effectively
Self-sufficient, reliable, and proactive with excellent attention to detail
Capable of working independently in a small team of 3 back office team and scheduling 16 field works daily
Strong issue mitigation, problem-solving, and follow-up skills
Must be well-presented, mature, and professional
Preferably local to Balmain office ( 45 Evans St, Balmain NSW 2041 )
This position requires full-time attendance at the office—remote work is not available
