Located in their brand new purpose built clinic and head-office in Collingwood (East Melbourne fringe), this is a collaborative, fully integrated team of fertility specialists, nurses, scientists and counsellors all working together to provide outstanding patient outcomes and care.
The Role
As a member of the Medical Administration Team within the Procedure Centre, you'll manage the accurate scheduling of patients for theatre. You'll liaise with the Nursing Team to obtain patient lists and work collaboratively with over 20 doctors to schedule appropriate times for theatre. You'll also support the team with other varied administration from assisting at Reception and answering phones to preparing admission and discharge paperwork etc. This is a permanent office based role working 38 hours per week, Monday to Friday (with some flexibility for occasional weekend work). On the job training will be provided and you'll be working with a fabulous team to provide accurate information and excellent customer service with a warm and empathetic approach. Responsibilities include:-
- Accurate scheduling of patients for theatre
- Liaising with the Nursing Team and Doctor's secretaries
- Assisting at Reception
- Answering phones and re-directing queries
- Preparing admission and discharge paperwork
- Conducting follow-up requests and making reminder calls for visits
- Maintaining accurate records on the patient management system (FYDO)
- Health fund checks
- Processing payments, invoicing and receipting for operations
- Liaising collaboratively across various teams and departments
- Compliance with company policies and procedures
Skills and Experience
First and foremost, we're looking for candidates with proven customer service and administration experience, who have strong communication skills, and a compassionate, organised, professional approach. You'll need intermediate Word/Excel skills and the ability to easily pick up new systems, such as the Patient Management System (FYDO). Medical/Health sector experience will be useful but of most importance is your ability to work accurately and efficiently in a sometimes hectic environment and to demonstrate a genuinely empathetic approach to patients and their families.
