Doctors & Co is seeking a highly motivated and organised Senior Medical Receptionist to support our Office Manager and play a key role in ensuring the smooth, efficient, and high-quality operation of our medical centre. About the Role
In this diverse and fast-paced role, you will assist in the coordination of daily operations, support quality improvement initiatives, and help deliver outstanding administrative and reception services. You will be working closely with the Office Manager, clinical team, and administrative staff to ensure our patients and practitioners are well-supported.
Key Responsibilities
Operations & Patient Services
Assist with coordinating daily clinic operations and staff scheduling
Liaise with doctors to support service delivery, manage rosters, and coordinate planned leave
Update online booking systems (HealthEngine and others)
Assist with accreditation processes and ensuring compliance with quality standards
Help resolve patient and practitioner concerns and promote positive feedback
Accounts & Finance
Support follow-up of outstanding accounts
Assist in preparing monthly purchase orders and nurse incentive tracking
Help reconcile weekly WorkCover and private billings
Marketing & Promotions
Coordinate local marketing initiatives in line with Doctors & Co campaigns
Assist in promoting centre events and holiday closures
Quality, Safety & Compliance
Supervise front desk operations and uphold patient service excellence
Participate in OH&S training, hazard reporting, and maintaining safety protocols
Support quality improvement initiatives and ensure the practice complies with legal and contractual obligations
About You
Required Qualities
Demonstrated patient-first mindset with empathy and professionalism
Strong communication and interpersonal skills
Well-presented, positive, and courteous at all times
Highly organised with strong attention to detail
Ability to work both independently and as part of a team
Familiar with infection control, workplace safety, and medical confidentiality

Commitment to continuous improvement and professional development
Skills & Experience
Minimum 1 year experience in a medical receptionist or administrative role
Proficient in Microsoft Word and Excel
Knowledge of Medical Director, Pracsoft, or Best Practice software
Experience working with diverse populations including aged care, adolescents, or CALD communities
CPR and triage training (desirable)
Familiarity with Medicare, health funds, emergency procedures, and safe waste handling
