At Urban Clean, we exist to dominate the SME commercial cleaning market. Our commercial cleaning franchise system is underpinned by a nationally integrated operational portal and a growing IMS aligned with ISO 9001 (Quality), ISO 45001 (Safety), and ISO 14001 (Environmental) standards.
As we scale, our HQ team supports a mix of local and outsourced Admin, Finance, and HR teams across multiple regions. We’re now looking for a sharp and systems-oriented Accounts & Admin Support Officer to help us maintain excellence, continuity, and compliance.
Your Role
This is not just another admin role. You’ll be the central operational link between our local team, our offshore finance and admin partners, and our internal systems — ensuring that our business hums with accuracy and compliance.
Basically you live and breath processes, systems and checklists.
Key Responsibilities
Finance & Accounts Support
Support AP/AR processes in Xero and our proprietary portal while liaising with outsourced finance teams to ensure accuracy, completeness, and on-time delivery of franchise disbursements, reports and payments
Key point of contact between our national operations and outsourced teams in both Finance and HR
IMS Reporting & Administration
Maintain core registers and documents required under ISO-aligned IMS (e.g., compliance calendars, audit logs, system improvement tracking)
Prepare weekly and monthly KPI dashboards covering financial performance, audit compliance, and business process controls
Assist in compiling evidence and documentation for internal audits, management reviews, and system checks
Operational Coordination
Head office and management team AD-HOC general support
Serve as liaison between our HQ and outsourced admin teams (contractor management, document handling, process clarifications, task escalations)
Support Regional Franchise onboarding and compliance data setup within the portal
Coordinate electronic filing, version control, and document management in line with IMS protocols
We’d Love to Hear from You if You Have…
4+ years in admin or accounts support (ideally in a franchise, service, or multi-site environment)
Strong Xero and Excel skills; experience working with cloud-based systems or portals
High attention to detail, process discipline, and structured communication
Experience in liaising with external/remote teams (BPOs, outsourced finance, or contractors)
Familiarity with ISO 9001/IMS/QMS systems (or willingness to learn quickly)
Bonus Points for…
Experience supporting ISO audits or maintaining compliance documentation
Working knowledge of document control, registers, and management review inputs
