Administration Officer – People & Development

About the Position

Batavia Traditional Owners Aboriginal Corporation (BTOAC) is seeking a motivated and reliable Administration Officer – People & Development to join our Cairns office.

This is a varied administrative role supporting the people and development functions of the Corporation, with regular interaction across staff, management, and community. The position includes periodic travel on-country to support meetings, training, and cultural events, and requires a hands-on, team-oriented approach.

Key responsibilities include:

Reception, phone handling, and greeting visitors.

Providing administrative support to the General Manager.

Managing incoming and outgoing correspondence, emails, and deliveries.

Scheduling and supporting internal meetings, including preparing agendas, taking minutes, and following up on actions.

Assisting with HR administration such as maintaining training registers, filing employee records, and supporting recruitment processes.

Ordering and distributing staff uniforms and coordinating internal events and catering.

Data entry and database updates, including accuracy of staff records and operational documents.

Supporting the organisation and logistics of travel, training, and staff development activities.

Ensuring the office is well presented and stocked, and maintaining confidentiality at all times.

About You

We are looking for someone who can demonstrate:

Strong administrative and organisational skills.

Confidence in using Microsoft Office (Word, Excel, Outlook, PowerPoint) and digital record systems.

Excellent written and verbal communication, including minute-taking and drafting correspondence.

Ability to prioritise tasks and work independently while contributing to a team environment.

Respect for confidentiality and cultural sensitivity when handling HR records and visitor interactions.

Willingness to travel on-country for short periods as part of your duties.

A current ‘C’ Class Driver’s Licence.

Previous experience in a similar administration or HR support role, preferably within a community, Indigenous, or not-for-profit organisation.
