Our HQ is in need of someone special to be the "Go-To" person for our team on site, as well as provide consistent and effective support for the Executive and Leadership Team.

Key Responsibilities

Office & Facilities Management

Greeting visitors, fielding inbound communications and providing general information as required.

Overseeing office operations - being the point person for maintenance, shipping and postage, supplies, consumables, and general site tidiness.

Management of Tools of Trade (i.e. Fleet, Devices), site communications and systems support.

Monitor and record office facilities issues and ensure they are rectified by liaising with key internal and external stakeholders including Strata Management and other suppliers, eg. cleaners, contractors.

Review, maintain and recommend improvements to office facilities.

Ad hoc requests as required.

Team Support

Support the coordination of company and customer events, collation of presentations and documentation.

Calendar and expense management for Executive/Leadership as needed.

Arrange meetings and travel for Executive/Leadership and other teams, including booking flights, accommodation and other transportation requirements.

Support internal communications and coordation of activities across the organisation.

Provide support for other teams with ad hoc projects or tasks.

You'll stand out if you...

Are able to work autonomously, efficiently and are a proactive problem solver.

Bring structure to ambiguity and clarity to complexity.

Enjoy getting stuck into the weird and wonderful, enjoy a random side quest and are a master of multi-tasking without missing a beat.

Have demonstrated experience in Office Management and/or Personal/Executive Assistance.

Are able to build relationships, trust and engagement with the team, giving them the confidence that you have their backs.

Have excellent time management, organisation and prioritisation skills and don't sweat on the small stuff.

Have excellent written and verbal communication skills and can think on your feet.

Are proficient in Microsoft Office and Calendar Management.
