About the Role

The Office Assistant (full time/part time negotiable) plays a key role in supporting the smooth and efficient operation of SFM’s Mount Gambier office. This hands-on, dynamic role provides general administrative support across office functions, including reception, document and data management, travel coordination, procurement, and operational assistance. The Office Assistant ensures the professionalism and functionality of the office environment, contributing to a cohesive and purpose-driven team culture.

Due to the varied nature of SFM’s work, including asset management and client service delivery, the Office Assistant may also support confidential tasks related to landholder agreements, grazing leases, and environmental data handling. Flexibility and discretion are essential, and additional responsibilities may be assigned as operational needs evolve.

Key Responsibilities

Administration

Provide reception coverage and manage incoming telephone and email enquiries professionally.

Receive, sort and distribute incoming mail, packages and external correspondence.

Support document control processes, including digital and physical filing, scanning, data entry and record management.

Maintain accurate registers for office supplies, assets, correspondence, and archiving.

Assist in organising meetings and events, including room set-up, catering and logistics.

Contribute to the preparation of reports, presentations, and internal communications.

Handle sensitive documents and data with a high level of confidentiality and care, particularly related to SFM’s asset portfolio and client agreements.

Finance & Procurement Support

Assist with data entry for accounts payable and receivable processes.

Raise purchase orders and track deliveries in alignment with company procurement protocols.

Support staff with credit card reconciliations and expense submissions.

Assist with scanning, matching and uploading of invoices and receipts into accounting systems.

Travel & Logistics

Liaise with external providers to coordinate staff travel arrangements (e.g., flights, accommodation, car hire).

Maintain accurate travel records and ensure timely communication of itineraries to relevant staff.

Operational Support

Provide general administrative support to both office-based and field-based staff.

Assist in maintaining a tidy, functional, and welcoming office environment.

Offer back-up support to other administration team members during peak periods or staff leave.

Assist with event coordination and promotional activities.

Experience and Qualifications

Experience

Minimum of 2 years’ experience in an administrative or office support role.

Demonstrated ability to work in a fast-paced, multi-disciplinary team environment.

Experience with Microsoft Office (Word, Excel, Outlook, SharePoint) and general office equipment.

Education

Certificate III or IV in Business Administration, or equivalent relevant experience.

Knowledge, Skills and Abilities

Strong organisational and time management skills, with the ability to manage multiple priorities.

High attention to detail and accuracy, particularly in data entry and document management.

Professional communication skills, both written and verbal.

A proactive and adaptable attitude with the ability to work independently and as part of a team.

Strong interpersonal skills and a collaborative mindset.

Trustworthy and discreet, with the ability to handle confidential information responsibly.
