This is the first key hire — the right-hand operator who keeps the machine running. Your mission is to remove distractions, run the office like a tight ship, and hold me to the standard I set for everyone else. You’ll be based onsite at Corporate House Brookwater, with a start date as soon as possible.

• Content, events, and launches are executed cleanly, on time, and without overwhelm
• Financial admin is current, reconciled, and ready for reporting

What You Will Own
• Schedule management – Own the calendar: book, confirm, reschedule, buffer travel, and protect deep work blocks
• Inbox & communication triage – Draft replies, file messages, chase outcomes, and handle what can be delegated
• Client workflow – Support the full client journey: proposals, invoices, session prep, and follow-up
• Content coordination – Schedule posts, polish drafts, upload podcasts, and liaise with creatives when needed
• Office operations – Keep the office stocked, clean, and running efficiently (mail, supplies, deliveries)
• Light bookkeeping – Reconcile Stripe and Xero, upload receipts, and prep reports for the accountant
• Event logistics – Coordinate venues, catering, bookings, and travel for events, retreats, or workshops
• Daily accountability – Run a daily stand-up and wrap-up to track priorities, maintain momentum, and keep me sharp
Must-Haves
• 2+ years in an EA, PA, or office coordinator role — or equivalent experience where you’ve had to manage competing priorities, support a high-performer, and keep things running smoothly. If you can prove you’re capable, I’m open to non-traditional paths
• Strong problem-solving instincts — if given an outcome, a timeframe, and a budget, you know how to figure it out and make it happen
• Exceptional written and verbal communication
• Calm under pressure, clear on priorities, and confident enough to push back when needed
• Full working rights in Australia and the ability to be on-site each weekday
• A valid driver’s licence and confident driving skills
• Willingness to travel domestically and internationally as needed
Nice-to-Haves
• Experience in coaching, consulting, or small professional-services environments
• Basic skills in podcast or video editing
• Familiarity with CRM platforms like HubSpot or Pipedrive

Engagement Details
This role starts as a contractor position under your own ABN, working full-time hours onsite. After a successful 6-month probation period, the role will transition to a permanent full-time position.
You’ll be supported during onboarding with clear systems, daily check-ins, and defined outcomes — but you’ll also be expected to take ownership early.
Flexibility in how you structure your day can be negotiated once momentum and trust are established.
