MJD Recruitment is excited to be working on a unique opportunity supporting a busy and driven small business owner. This role is perfect for someone who enjoys variety, takes ownership, and thrives in a fast-paced, hands-on environment.
While this position is mostly remote, you must live close to Melbourne’s CBD and be available to meet the business owner on short notice when required.
About the role:
This isn’t your typical Executive Assistant role. You’ll be an essential support, helping manage the day-to-day operations of the business. From liaising with tradies and suppliers to managing invoices and bookings, you'll be the go-to person who keeps things moving behind the scenes.
We’re looking for someone who can juggle multiple responsibilities, speak confidently with people at all levels, and bring structure to a busy, fast-moving environment.
Your key responsibilities will include:
- Scheduling and calendar management for the business owner
- Coordinating with tradies, suppliers, and service providers
- Managing incoming and outgoing invoices; tracking payments and following up where needed
- Responding to client and supplier queries with professionalism and efficiency
- Assisting with job bookings, quotes, and work order follow-up
- Preparing basic documentation, correspondence, and reports
- Attending occasional in-person meetings in the Melbourne CBD
- Offering general administrative support as needed across the business
What we’re looking for:
- 3–5 years’ experience in an Executive Assistant role
- Comfortable communicating with a range of stakeholders—including tradies, clients, and suppliers
- Strong attention to detail and confident working with numbers and invoices
- Ability to prioritise tasks, solve problems, and take initiative
- A reliable, down-to-earth communicator who enjoys being hands-on and helpful
