Vehicle Administration Coordinator

We’re seeking a proactive and detail-focused Vehicle Administration Coordinator to join our dynamic team. This is a hybrid role responsible for stock control, vehicle registration processing, and warranty claims, ensuring all new vehicles are received, processed, and maintained in line with manufacturer and compliance standards.

Key Responsibilities:

🔹 Stock Control & Receiving

Receipt and inspect all incoming new vehicles for damage

Stock vehicles into the DMS (Titan) and maintain accurate inventory records

Update and manage vehicle stock lists across multiple brands

Support audit compliance with up-to-date documentation and tracking

🔹 Vehicle Registrations

Process new & used vehicle registrations

Maintain strict compliance with VicRoads processes by ensuring timely and accurate submission of all registration documents

🔹 Warranty Administration

Process warranty claims efficiently and accurately, adhering to manufacturer guidelines

Liaise with service advisors, technicians, and manufacturers to resolve claims

Maintain clear and complete warranty documentation and follow up on pending claims

Stay current with changes to manufacturer warranty policies

About You:
✔ Prior experience in vehicle stock control or warranty claims (highly regarded)
✔ Experience with Titan DMS or similar systems (preferred)
✔ Strong organisational skills and attention to detail
✔ Ability to work autonomously and show initiative
✔ Excellent time management and communication skills
✔ A positive, solutions-focused attitude

Requirements:

Current Australian Driver’s Licence

Ability to pass a National Police Clearance Check
