About our Practice

We want to provide a safe place where our patients feel secure, supported and heard. From our Surgeon to Allied Health practitioners, you will be working with the best.

This is the first administration role in our new practice, and our vision is to grow our practice with new staff and allied health clinicians joining our team as we expand. There is the possibility for the right candidate, that this position will grow in seniority and you will have the opportunity to expand your skill set and experience.

Our Practice is located in Victoria Parade, Fitzroy. Once fully trained and mutually agreed, this position will work from home on Mondays.

About You

Our specialist multi-disciplinary (particularly Obstetrics and Gynaecology) practice is seeking a professional, highly organised, pro-active, warm, empathetic, people savvy, and experienced Senior Medical Secretary who will support our team and manage our diverse clinicians. It would suit a candidate who aligns themselves with our practice vision.

This would be a pivotal role in our practice supporting all our Surgeons/Allied Health practitioners and working with our fantastic team. We will embrace candidates who have worked in multi-disciplinary teams. Who will bring their incredible people skills, along with experience in implementing and setting up practice processes and procedures. They will thrive in building a collaborative team and have a growth mindset.

We are looking for a team leader who would love to be part of our practice journey, and who prides themselves on their leadership skills and understands the importance of caring and supporting our practice and staff and most importantly our patients – they are our number one priority. We want to provide a place where they feel protected and safe.

Our ideal candidate will have the following and responsibilities will include:

Ensuring the practice is always fully compliant with industry and government regulations including OHS.

IT savvy skills (able to troubleshoot as required – and working in conjunction with our IT company when required)

Initially managing consulting sessions and reception – a great way to bond with the team and have hands-on contact with our patients.

As our team grows, experience in motivating and training a team to continually improve the efficiencies and workings of our practice would be viewed well, including fostering an environment of staff recognition, trust and support (where each staff member feels safe) – a true team member.

Providing thoughtful support to patients and would benefit from experience in managing conflict in a calm manner.

Having a good understanding and previous experience in Theatre Bookings, Surgical Quoting, and Surgical Billing, including AMA fees.

Gentu Medical Software experience (or similar)

Being experienced in working with various health funds and Medicare (ECLIPSE viewed highly). Including daily, weekly and monthly reconciliations. Batching Medicare invoices.

Possess excellent organisational skills, outstanding work ethic and punctuality.

Enjoy creating and refining new and current processes to ensure the practice runs smoothly and efficiently.

Displaying outstanding attention to detail skills, along with exceptional customer service skills (whether internally or externally), verbally and written – this cannot be overstated, particularly when dealing with complaints. You are also proud of your professional manner and presentation.

Have a capacity to perform well in a busy environment – must be a skilled multi-tasker

Experience:

Must have minimum two (2) years Senior Medical Secretarial experience – Multi-disciplinary practice’s experience, viewed favourably

Private Specialist experience is mandatory – Female health care experience viewed favourably

Experience with Gentu, Office 365 and ECLIPSE

A certificate in Health Administration or Diploma of Practice Manager, would be viewed well

Hours/Days:

Days/Hours

Monday – WFH
9:00 – 5:30pm (30 minutes unpaid lunch break

Tuesday to Thursday – onsite

9:00 – 5:30pm (30 minutes unpaid lunch break

Friday

9:00am till 3:00pm

Pay rate: $35.00 to $42.00 per hour plus super
