About the Role
Melbourne Urology Group is seeking a full-time Senior Medical Administrator to join our growing team in East Melbourne and Heidelberg. We are looking for an experienced, attentive, compassionate, and dedicated individual to join our team. In this role, your primary responsibility will be working closely with an established urologist to ensure the smooth operation of the practice, coordinating patient care, and managing a variety of administrative tasks. You will serve as the key point of contact for both patients and staff, helping to maintain an efficient and effective practice. This position offers excellent flexibility through a hybrid working environment, allowing you to work from home when in-person client and patient interaction is not required. The role is available to start as soon as possible.

Melbourne Urology Group is located in East Melbourne, in beautiful, modern suites opposite Fitzroy Gardens. Our friendly and caring team provides high-quality care to a diverse group of patients, including those with complex and cancer-related needs. We have a large practice with renowned Melbourne urologists, nurses and administrative staff. Our second consulting suites are located on Burgundy St in Heidelberg.
Administrative Responsibilities
Meet and greet patients with care, enthusiasm, empathy, and professionalism, reflecting positively on our practice.
Oversee the efficient flow of patients within the rooms in East Melbourne and Heidelberg, ensuring a positive patient experience.
Manage the doctor’s busy schedule, including diary and patient management across multiple locations.
Prepare theatre lists, fee estimates, and surgical documentation prior to procedures.
Process payments for surgery and appointments, track and invoice payments.
Handle patient inquiries and listen to their concerns with empathy.
Liaise with Medicare, private health funds, and relevant hospital departments as needed.
Facilitate patient referrals to public and private hospitals, specialists, and allied health professionals.
Promote a positive team culture and contribute to an excellent patient experience.
Experience and Personal Attributes Required
Essential: Senior administration experience in a medical or surgical environment, including billing.
Positive attitude and willingness to learn.
Proficiency in MS Office, medical software, and IT systems.
Prior experience using Genie (Practice Management Software) is essential.
Excellent communication and interpersonal skills, with the ability to interact with patients and staff in a professional and empathetic manner.
High level of organisational skills and attention to detail.
Ability to multitask and prioritise workload effectively.
