About Us
We are a growing commercial Trades business based in The Illawarra, with a current team of 10 dedicated professionals.
As we scale, we seek a dynamic Office Administrator to lead our Finance & Systems Administration in streamlining operations, enhance financial systems, and eventually transition into a Finance Leadership role.
This position offers hands-on involvement in shaping the future of our financial and operational processes.
Role Overview
This role combines financial administration, systems optimisation, and operational support.
You will manage day-to-day administrative and finance tasks using AroFlo and Xero. Working directly with the leadership Team you will seek and drive process improvements, and ensure seamless coordination between field teams, clients, and finance.
Over one to three years, you will progressively assume responsibility for the Finance Lead role, ensuring a smooth transition.
Key Responsibilities
1. Financial Administration & Reporting
Accounts Management:
Enter bills into Aroflo and Xero, reconcile accounts payable/receivable, and manage invoice workflows.
Process payroll weekly, reconcile superannuation payments, and handle payroll-related staff queries.
Reconcile multiple bank accounts and manage financials across various divisions, liaising with external accountants.
Compliance & Reporting:
Oversee FBT for motor vehicles, maintain vehicle registers, and ensure compliance with maintenance schedules.
Manage Workers Compensation claims and liaise with insurance/finance brokers for policy renewals.
Client & Stakeholder Liaison:
Coordinate with clients on job accounts and resolve billing discrepancies.
2. Systems & Process Optimisation
AroFlo & Xero Integration:
Lead improvements in AroFlo workflows (e.g., Work Order allocation, job invoicing) and ensure seamless data sync with Xero.
Troubleshoot system issues and collaborate with IT Support / AroFlo support to enhance functionality.
Automation & Efficiency:
Design automated workflows for tasks like post-trial lead management and recurring job scheduling.
Implement AroFlo description templates and checklists to standardise processes.
3. Operational & Office Management
Team Coordination:
Allocate employees to jobs via AroFlo, update Google/AroFlo calendars, and manage staff amenities/uniforms.
Organise weekly Toolbox Talks (content, catering) and maintain office cleanliness/supplies.
Administrative Support:
Handle credit applications, stationery orders, and motor vehicle registrations.
Act as the primary contact for IT, Aroflo, and Xero support queries.
Career Pathway
3-6 months: Master day-to-day operations, systems, and compliance under the guidance of the Finance Lead.
Year 1-3: Transition into Finance Leadership, overseeing budgets, financial strategy, and team management.
Skills & Qualifications
Essential:
Experience in office management and stakeholder liaison.
Bookkeeping Experience
Cert IV in Accounting/Finance or equivalent experience.
Proficiency in AroFlo and Xero, including payroll and reconciliation modules.
Strong grasp of accounts payable/receivable, payroll, and BAS/GST compliance.
Preferred:
Experience in trade/construction industries.
Knowledge of AroFlo’s advanced features (e.g., task automation, compliance forms).
