With our continuing business growth and successful delivery of major projects, Pyrologic Fire Services is seeking a proactive and experienced Administration Manager to lead our head office administrative operations in Sydney Olympic Park.
This is a pivotal, full-time role ideal for someone with a strong background in office administration, invoicing, receivables management, and contract administration. Experience in construction or subcontracting environments is highly desirable.

About the Role
As our Administration Manager, you’ll be responsible for the efficient running of office and financial administration, directly supporting our project teams, site staff, and management. You’ll lead our small but dynamic admin team, drive system improvements, and ensure compliance with contracts and invoicing processes.
Key Responsibilities
Oversee day-to-day office admin functions and internal coordination
Manage and streamline invoicing, receivables tracking, and project billing
Maintain accurate client and supplier records; follow up on outstanding accounts
Coordinate and monitor contract administration, including compliance documents, registrations, and subcontractor agreements
Assist with payroll preparation and liaise with the finance team on job costing
Develop and maintain internal systems, procedures, and office policies
Provide general executive and project support across the business
Supervise a small team of admin staff and ensure deadlines are met
What We’re Looking For
Proven experience in office administration or admin management (3+ years preferred)
Strong understanding of invoicing, accounts receivable, and contract admin workflows
Excellent computer skills—MS Office essential; MYOB or Xero experience advantageous
Exceptional organisational skills and attention to detail
Clear communication and a confident, proactive approach
Construction, building services or trade-based admin experience (desirable)
Certificate IV or higher in Business Administration, Finance, or a related field (preferred)
