The Catholic Diocese of Broken Bay is seeking a capable and compassionate Administration Assistant to support the work of Safeguarding Broken Bay (SBB). In this pivotal role, you will provide efficient, accurate and confidential administrative support to the Safeguarding team – with a particular focus on supporting the Safeguarding Legal Counsel and the Safeguarding Officer – Records.
This position requires commitment to confidentiality and the ability to handle emotionally challenging material with professionalism and resilience. You will be entrusted with confidential records and correspondence, often involving complex and sensitive content, and must approach every task with discretion, and sound judgment.
This is a role with purpose, where your skills in office administration, document management and communication will directly support the Diocese’s mission to ensure safe and welcoming environments for all.
Key Responsibilities
Provide high-quality administrative support to the Safeguarding team, including coordinating meetings, minute-taking, venue and travel arrangements, and event support.
Assist the Safeguarding Legal Counsel with the preparation of sensitive legal correspondence and documentation.
Maintain accurate records and filing systems in accordance with Diocesan standards.
Draft, format and proofread documents while ensuring alignment with the Diocesan style guide.
Support file and version control processes, ensuring secure storage and handling of confidential records.
Liaise professionally with internal and external stakeholders, including clergy, parishes, legal representatives, and diocesan entities.
About You
To succeed in this role, you will bring:
Proven experience in administration, ideally with knowledge of legal or safeguarding processes.
Excellent communication, organisational, and time management skills.
High proficiency in Microsoft Office and document management systems.
Sound judgement, discretion, and the ability to manage sensitive and confidential information.
A collaborative approach and a strong sense of service.
A Working with Children Check (WWCC) and relevant tertiary qualifications or equivalent experience.
