Position

This role is a critical hire to drive operational excellence across every level of the firm's operations. Working with departmental heads, Directors, and the HR Business Partners on strategic planning, you'll also maintain direct responsibility for the Client Services Administration team, Corporate Secretarial function and comprehensive practice administration.

Your remit spans from high-level operational strategy to hands-on administrative execution. You'll collaborate on strategic initiatives while ensuring the day-to-day administrative backbone of the practice runs seamlessly - from onboarding new team members to managing workflows and maintaining the culture that makes this firm successful.

Key Responsibilities:

  • Partner with departmental heads and Directors on strategic planning and operational execution
  • Directly manage the Client Services Administration team and Corporate Secretarial function
  • Oversee compliance frameworks with hands-on management of ASIC and regulatory requirements
  • Collaborate with HR Business Partner and manage new team member onboarding and induction programs
  • Assist with payroll, accounts payable, and accounts receivable in collaboration with the finance team
  • Manage administrative operations including workstation setup, facilities, and technology coordination
  • Organise team events and contribute to maintaining positive, collaborative office culture
  • Proactively manage workflow, ensuring clear communication of priorities and deadlines across all departments
  • Drive process improvement and innovation to enhance efficiency and support the firm's growth

Candidate

If you have experience in practice management, office management, or senior administrative roles within Professional Services, Real Estate, Legal, Wealth, or Financial Services, we'd like to hear from you. A passion for creating an efficient, welcoming and supportive workplace is essential.

  • Proven ability to manage operational functions with a proactive and detail-oriented approach, ideally with some team leadership experience
  • Exceptional communication skills, both written and verbal, with the ability to engage professionally at all levels from team members to Directors
  • Candidates with previous Senior Client Services Administrator experience are particularly well suited and encouraged to apply
  • Advanced proficiency in practice management systems such as Xero Practice Manager, and HR platforms like Workday, BambooHR, Employment Hero etc. will be highly regarded
  • Strong organisational skills, capable of multitasking and prioritising competing demands across strategic and administrative functions
  • A collaborative mindset with natural leadership qualities, ready to support both individual and firm-wide success
  • Genuine enthusiasm for process improvement and creating systems that make everyone's work more enjoyable
  • Natural relationship builder who enjoys connecting with people and fostering positive team dynamics
  • Interest in developing expertise in accounting practice operations and contributing to a forward-thinking, growing business
