The position requires a person with natural flexibility in handling day-to-day routines as well as challenges. The office manager will be detail-focused with excellent time management skills, applying initiative thinking and promoting continuous improvement. This person will support the team and organisational efficiency by nurturing a positive, inclusive work environment.
Position:
This is a diverse position that will keep you on your toes. You will assist with the smooth running of our business, working across a broad range of tasks to support day to day functions and long-term business outcomes. The successful applicant will help and support to the CEO, Directors and Managers.
Activities in this role include but are not limited to:
· Administration: manage the day-to-day running of the office and provide business support, including facilities and asset management, reception and client interactions, events and catering, sourcing and purchasing equipment and scheduling the cleaning, maintenance, and repair of business assets.
· CEO and Manager Support: business planning and strategy, administration, scheduling meetings, minutes, diary management and general assistance.
· IT Systems Management: Manage and maintain software platforms, including cybersecurity, access and tech support. Including Microsoft 365 suite, Xero, ProjectWorks, Inflow, PowerBI, and BrightHR.
· Business activity tracking: Track and report against business systems, projects and stock against business targets, management reports, meeting minutes etc.
· Finances: Work with CEO and CFO and use Xero to prepare monthly accounts reports, cashflow reporting and control, and invoicing. Supervise bookkeeping staff carrying out bill payment, payroll, PAYG, GST, and Activity Statements.
· HR support: oversee recruitment, reviewing job descriptions, contract management, onboarding new staff, staff development tracking, scheduling training and reviewing policies, procedures, and SOPs.
· Marketing: Website maintenance and social media updates
· Logistics: oversee the travel arrangements for consulting and field staff.
Applicants must have:
· A minimum of 5 years in an office management or related position
· Degree or certificate in a relevant field (e.g., accounting, administration, IT, business management)
· Experience with bookkeeping/accounts/payroll management using Xero or similar accounting software
· Experience with the Microsoft Office suite of products, including advanced Word, Excel, and Outlook skills
· Experience using databases and data management
· Excellent interpersonal, written, and verbal communication skills
· Experience compiling financial reports
· A positive disposition
· Good attention to detail
· Demonstrated initiative and strong work ethic
· Excellent time management skills
· Ability to work independently and cooperatively with all members of the diverse team
· Ability to prioritise diverse workload activities and work under pressure
Desirable:
· Experience tracking business activity
· Experience with IT systems and website management
· Experience with HR systems
