Due to growth, we are seeking a Project Administrator to join our team of dedicated and skilled professionals. As a key member of the PMO (project management office), you will be part of a cross skilled team group that consults, designs, supplies & installs, and provides after care of control rooms.

We support all major industries including Energy, Resources, Infrastructure, Emergency Services, Transport, Defence and Space.

Position Overview:

This Perth-based role, located near the International Airport, reports directly to the Regional Manager and plays a vital part in supporting the successful delivery of multiple projects across Australia.

As a Project Administrator, you’ll be responsible for assisting the project leads in coordinating project activities, maintaining accurate documentation, and ensuring smooth communication between internal teams and external stakeholders. You’ll work closely with project managers and technical staff to keep projects on track, using your organisational skills and attention to detail to manage schedules, resources, and reporting requirements.

This is a predominantly office-based role with occasional travel (less than 25%), offering the opportunity to grow your project support capabilities within a collaborative and people-focused culture. You’ll gain exposure to a wide range of industries and contribute to the delivery of innovative control room solutions.

Key Responsibilities:

Support Project Managers with day-to-day coordination across multiple projects

Maintain and manage project documentation, registers, and records, including internal and external document control processes

Assist with scheduling meetings, preparing agendas, and recording minutes

Coordinate procurement, deliveries, and logistics for project materials and equipment

Perform or witness goods inspections against BOM, test plans or checklists, eg goods received, supplier on-site quality inspections, facilitate client inspections/sign offs.

Book and manage travel and accommodation arrangements for project-related activities

Communicate with internal teams, clients, and suppliers to support project goals

Track project timelines and milestones, and flag any delays or issues

Assist with budgeting, invoicing, and financial reporting using project management tools

Prepare and issue project documents such as work plans, safety forms, and acceptance tests

Occasionally provide on-site support and ensure compliance with company quality, safety, and HSEQ standards

Experience:

Tertiary qualification in a relevant field (preferred)

Experience in a project or process-driven office

Confident using Office 365 and project tools

Strong communication and people skills
