Congress Event Coordinator
📍 Melbourne | Fixed-Term (14 months) | Diabetes Australia
Diabetes Australia is proud to be hosting the 2026 International Diabetes Federation (IDF) Western Pacific Region Congress – an event that will bring together global thought leaders, healthcare professionals, researchers, and advocates to shape the future of diabetes care across the region.
To help us deliver this landmark event, we’re seeking a Congress Coordinator to join our team on a 14-month fixed-term contract. This is a unique opportunity to lead the coordination of a high-impact, international congress that will contribute to better outcomes for people living with or at risk of diabetes.
About the role
As the Congress Coordinator, you’ll be at the heart of the planning and delivery of the IDF Congress. You’ll take the lead on coordinating program elements, liaising with a wide range of internal and external stakeholders, and ensuring timelines, deliverables, and communication channels are running smoothly.
You’ll bring together expert voices, guide complex logistics, and support strategic decision-making – all while ensuring every detail aligns with the purpose and ambition of the Congress.
Key responsibilities include:
Coordinating all program and stakeholder aspects of the Congress in line with project milestones
Acting as the central point of contact for internal teams, external partners, and the IDF organising committee
Supporting speaker engagement, session planning and content development
Managing risk, reporting on progress, and maintaining accurate project documentation
Collaborating with external event management providers to integrate all program elements into overall event delivery
Providing timely, strategic advice to senior leaders and project stakeholders
About you
You're an experienced project or program coordinator, ideally with exposure to health, not-for-profit, or education sectors. You're confident engaging diverse stakeholders, thrive under pressure, and have a keen eye for both the big picture and the finer details.
You bring:
Proven experience in project coordination and stakeholder engagement
Strong communication skills and the ability to influence across all levels
Sound judgement and an ability to manage complexity with confidence
Proficiency in Microsoft Office and project tracking tools
Experience coordinating multi-partner events or large-scale conferences (highly regarded)
An interest in health and social impact (desirable)
