About the role
Liebherr Australia is seeking an experienced and professional Administration Assistant to support our Global Product Management Team, based at our Perth Branch. Reporting to the General Manager – Product Management, in this role you will assist in budget preparation, reporting, document management, data entry, travel planning, meeting coordination and provision of contract management support
Key Responsibilities
- Address internal and external customer enquiries
- Updating and maintaining databases and systems with Advanced skills in Microsoft
- Assists in the preparation of annual MIN PM CAPEX / OPEX budgets and administers CAPEX re-quests
- Assist in the development and maintenance of business processes and procedures for the MIN Product Management Team.
- Coordinates site mobilisations, enters and processes a high travel ratio of requests / travel itineraries and compiles / processes expense claims.
- Managing Calendars, scheduling meetings, taking minutes and producing reports for multiple team members
- Developing confidential documentation and data sets
- Able to set up SharePoint document archives that are easy to navigate and provides document version control
- Good Knowledge of TEAMS with the know-how on access permissions ensuring IP Security
About you
- Cert IV in relevant discipline OR
- At least 3 years relevant high end administrative experience
- High attention to detail and effective communication skills
- Ability to handle multiple tasks and complete to high standard
- Experience with a high volume of travel arrangements for multiple team members
- Must have advanced knowledge of all Microsoft Products with experience and advanced working knowledge relative to formatting, revision control, track change functions, use of formulas, creation of pivot tables, graphs and overview tables for large data sets
- Able to produce technical PowerPoint presentations with process flows, use of animations, use of add ons such as office timeline and empower library
- Knowledge of Microsoft Project
- Exposure to Jira Projects / Service Management
- Identification and resolution of potential issues
- Analytical skills
- Customer service skills (advanced)
