CARINBUNDI is an organisation based in Bundaberg, providing a range of exceptional support to eligible people with a disability for more than 20 years.

The Reception/ Administration role supports Carinbundi by providing first point of contact customer service to the public through efficiency and professionalism in an environment where we care for those in the community with a mental and/or physical disability.

The person will support the Management Team as a priority and assist other staff when required.

Key Roles and Responsibilities

Carinbundi’s Reception Duties:

· Attend to Carinbundi’s Reception in an efficient and professional manner

· Attend to all enquiries as first point of contact for Carinbundi, in a professional and courteous manner at all times

· Provide to both the customer and Carinbundi a high level of professionalism with all customer service functions

· Ensure the information being provided to all customers is accurate, given the support of the respective service areas

· Ensure that the customer is always treated in a professional, tactful, and empathetic manner

· Promote a positive and professional image for Carinbundi

· Maintain confidentiality at all times

· Work with limited supervision

· Promote Carinbundi’s image of a professional and efficient organisation through demonstrating a high level of customer service

· Carry out any other duties within the limits of the employee’s skill, competence, and training

Administration Duties

· Provide administration support to the Senior Management Team

· Receipting/banking of monies received from customers

· Perform beginning, and end-of-day duties as determined

· Provide administrative support to other sections of Carinbundi, eg typing, filing, data entry, photocopying, and other tasks as required

· Stock control of stationery and staff supplies

· Provide secretarial and general administrative support and arranging meetings, travel, functions and catering as required

· Ensure adequate coverage of Reception at all times

· Be the internal central point of contact for IT queries/issues, eg computers, telephones

Key Selection Criteria

1. Demonstrated successful experience working in an administrative environment with an emphasis on customer service

2. Demonstrated experience in the operation of a telephone switchboard and face-to-face customer service

3. Highly developed written and verbal communication and interpersonal skills, with a demonstrated ability to build rapport and maintain relationships with a wide range of people, including executive management team members, customers, and employees

4. Proficiency in the use of Microsoft Office suite and other programs (including Word, Excel, Outlook, PowerPoint, Adobe), and the ability to apply relevant Information Technology applications

5. Proven time management skills, a demonstrated ability to manage and prioritise a range of tasks, and work to deadlines whilst adapting to changing priorities and work demands

6. A high degree of ethics, integrity and professionalism, with the proven ability to maintain confidentiality

7. Demonstrated experience with administrative processes and knowledge

8. The capacity to work both independently and as part of a team; and the ability to exercise initiative and judgement where practices and directions are not clearly defined
