Purpose of the role

Oversee the day-to-day management of the trust operations teams to ensure the delivery of trust operations to an exceptionally high standard;

Develop and deliver Eticore’s technological capabilities;

Develop and deliver Eticore’s financial management, human resource and other corporate support functions;

Build and maintain a high-performance team;

Work effectively with the Chief Executive Officer and Executive General Manager to develop and deliver corporate planning and strategy;

Identify operational and technological inefficiencies and implement systems and/or processes to improve and/or eliminate these inefficiencies

Build the reputation of Eticore within the financial services and corporate trust industry, specifically in relation to the business’ ability to deliver exceptional client service, excellence in quality of output, bespoke and agile solutions for clients, consistency and accuracy of all deliverables;

Research and communicate concepts and ideas to the Eticore CEO and Board to ensure they are aware of best practice, client service expectations, and industry advances in relation to corporate operations, particularly in relation to the provision of financial services;

Adhere and promote Eticore’s ethical tone, including ethical standards, corporate social responsibility and well-being of the community, with a focus on the values of trust, collaboration and respect; and

Focus on quality output, regulatory adherence and maintaining strong corporate profitability.

Key relationships and reporting structures

The Chief Operating Officer reports directly to the CEO of Eticore Pty Ltd.

Deliverables

Technology plan and execution, including but not limited to:

o Plan encompassing requirements and prioritisation

o Recommendation on in-house or outsourced delivery of technological solutions

o Cyber security controls, preparedness and testing

o Hardware and software management

o Automation and efficiency solutions

Maintain and establish new (where required) operational teams, procedures, systems, and models that function consistently, efficiently, and with risk controls in-built and/or overlayed;

Oversee the trust operations team and ensure delivery is timely, professional and error-free

Ensure the documentation of policies, procedures and system rules established, in order enhance team-wide capabilities and reduce or eliminate key person risk;

Facilitate the production of corporate monthly management accounts and annual financial statements and budget;

Build a dynamic, high-functioning team working with a common purpose. The team should attract and retain high performing team members who feel appropriately valued and rewarded.

Oversee human resource management

Work within a budget to achieve deliverables

Together with the CEO and EGM, deliver a yearly business plan, budget and 3-year strategic plan.

Responsibilities

Financial and resource management:

prudently manage resources within the budget allocations;

ensure corporate and regulatory compliance with financial requirements; and

recruit and retain a high performing team.

Relations with Eticore employees:

respect and value all employees;

articulate and continually reinforce Eticore’s vision, mission and values to employees;

ensure ongoing compliance and development of OH&S policies and procedures; and

maintain an organisational culture, people strategies and compensation systems that attracts and rewards talented and high performing employees.

Communications:

maintain consistent regular communications with the executive team in a respectful, challenging and questioning manner to ensure the best outcome from such discussions;

consistently present the organisation and its mission, values and services in strong, positive images to employees, relevant stakeholders and the general public; and

undertake to represent the position and views of Eticore to all relevant internal and external stakeholders in a way that enhances the reputation of Eticore.

Corporate governance and risk management:

support, advocate and monitor the mandatory adherence to policies and procedures by all Eticore employees;

work with the executive team and the operations team to identify risks and to update, maintain and manage risks within the framework of the risk management policy endorsed by the Board; and

maintain records and documents in accordance with the organisation’s procedures and ensure compliance with all relevant legislation and regulation.

Planning and Strategy:

review trends, challenges and opportunities within the industry relating to the securitisation and wholesale trust markets, and financial markets generally.

work effectively with the Chief Executive Officer and Executive General Manager to develop an annual budget/business plan, and a multi-year strategy;

develop KPIs for employees that align with the COO’s KPIs and Eticore’s strategy; and

plan for and incorporate into operations future resource and system requirements and growth.

Essential knowledge, skills and qualifications

minimum 8 years’ experience in financial services operations and/or technology roles;

degree or higher in relevant discipline;

experience in managing the implementation of new technologies;

previous leadership and management roles;

strong understanding of cyber and data security risks and mitigants;

experience selecting and managing outsource partners preferred;

effective negotiation and communication skills;

strong understanding of regulatory issues; and

ability to think strategically and drive outcomes.
