Casual Receptionist – Psychology Practice (Joondalup and West Leederville)

Excelsis Psychology is a leading private practice supporting children, teens, and families through high-quality, compassionate mental health care. We are growing our friendly Client Care Team and are seeking a Casual Receptionist (Client Care Officer) to join us across one or both of our locations.

About the Role

This is a dynamic and varied front-desk role in a warm, professional clinical setting. You'll be the welcoming face of the practice and play a key role in supporting both clients and our psychology team.

Key duties include:

Front desk reception: greeting clients and managing calls/emails

Scheduling: booking, rescheduling, and managing waitlists using Zanda

Payment processing and Medicare claiming

Preparing invoices for private and third-party clients

Assisting clinicians with administrative tasks (e.g. scanning, faxing, assessments, room prep)

Following clinic processes using our workflow system (MeisterTask)

Handling new client enquiries and triaging appropriately

Contributing to a calm, welcoming, and organised clinic environment

About You

You are friendly, calm under pressure, and thrive in a fast-paced, client-facing admin role.

We’re looking for someone who has:

1–3 years’ experience in reception or admin (health/medical preferred)

Excellent communication and organisational skills

Strong attention to detail and reliability

Confidence using Microsoft Office and learning new systems

A passion for supporting mental health services

Ability to work independently and as part of a team

A current (or willing-to-obtain) WA Working with Children Check
