PERSONAL ASSISTANT – HEAD OF STUDENT WELLBEING
This is a fixed term/contract position until 19 September 2025. Must be an Australian Citizen.
The Personal Assistant to the Head of Student Wellbeing is appointed by the Principal and reports to the Business Manager. On a day-to-day basis, this role takes direction from the Head of Student Wellbeing.
This position provides high-level administrative support to the Head of Student Wellbeing, while also contributing to the broader administrative team to ensure the Student and Teacher Support Centre operates efficiently and supports both staff and students.
This role is grounded in a model of Christian service, reflecting the College’s Vision and core values of compassion, justice, courage, and joy. The Personal Assistant acts with delegated authority from the Principal and plays an active part in the life and mission of the College.
KEY RESPONSIBILITIESGeneral Administrative Support
- Manage correspondence on behalf of the leadership team
- Answer and manage phone calls and messages
- Prepare agendas, take minutes, and follow up on action items
- Coordinate diaries and schedule appointments
Support to Head of Student Wellbeing
- Liaise with external speakers and manage bookings for pastoral and wellbeing programs
- Assist with the preparation, editing, and distribution of pastoral program booklets and student diaries
- Prepare materials for Parent Evenings and Year 7 orientation programs
- Support student leadership initiatives alongside the Student Leadership Coordinator
- Assist with event planning for Mercy Day, end-of-year functions, and graduation
- Collect, monitor, and report on wellbeing data as required
- Assist with organising and preparing resources for school counsellors
- Manage student detention processes and assist with student exchanges
Support to Head of Faith and Mission
- Assist with liturgy preparation, including creating Mass booklets, maintaining the chapel, and managing chapel supplies
Support to Head of Operations
- Arrange appointments and maintain calendars
- Assist with policy updates
Office Administration Support
- Prepare and distribute the Staff Bulletin
- Provide backup coverage for Student Reception, as required
- Perform data entry into the school’s administration system
- Support bulk mail-outs (e.g., newsletters, student reports, fee statements)
- Assist with general office duties including photocopying, laminating, word processing, and desktop publishing
- Assist with first aid duties, if required
Professional Practice
- Identify and implement improved administrative processes and efficiencies
- Attend relevant training and development programs
- Participate in office and whole-staff meetings
- Engage in annual performance review processes
Child Safety and Student Wellbeing
- Understand and comply with the school’s Child Safety Policy, Code of Conduct, and related procedures
- Actively promote and maintain a safe and supportive environment for all students
Other Duties This position description provides a broad outline of key responsibilities. The Personal Assistant may be required to undertake other duties, as directed, that are consistent with the role and the overall objectives of the College.
Please note for all Australian based contract and temporary roles only, the pay rate is inclusive of mandatory 25% casual loading. This excludes permanent and fixed term roles.
