About Us
We are a well-established construction and design firm based in Deepdene, Victoria, specialising in high-quality building renovations. With a strong reputation and a collaborative team environment, we’re looking for a capable and proactive Administrator to support our busy office, including the Office Manager, three Directors, and the broader project team.

The Opportunity

This role is a 3 day per week part time role Tuesday through to Thursday with the potential to be full time by the end of 2025. The positions hours are 8am - 5pm.

As an Administrator you will play a vital role in supporting daily operations and ensuring the smooth running of our office. You’ll contribute to the overall efficiency of the team by providing high-quality administrative support across a range of tasks.

Your key responsibilities will include:

Providing general administrative support to the Office Manager and wider team

Managing communications including incoming calls and emails (Outlook)

Maintaining workflow and project registers

Organising and maintaining financial records and documents accurately

Supporting finance-related tasks to meet deadlines and business requirements

Assisting with document preparation, filing, archiving, and data entry

Using AroFlo Job Management Software to track job progress and updates

Supporting invoicing, expenses, and financial processes using Xero

Contributing to team efficiency by identifying and addressing administrative needs proactively

Computer Skills Required:

Microsoft Outlook (email and calendar management)

Microsoft Word (document formatting and editing)

Microsoft Excel (basic formulas and spreadsheet maintenance)

AroFlo Job Management Software (or similar software)

Xero Accounting Software (or similar software)

Ability to maintain workflow and project registers accurately

Core Administration Skills:

Strong written and verbal communication

Problem-solving and critical thinking

Numeracy and attention to detail

Filing, archiving, and document control

Time management and working to deadlines

Maintaining project-related records and registers

What You’ll Bring:

Previous experience in an administrative or office-based role

A proactive and adaptable attitude in a fast-paced construction environment

Strong organisational skills and ability to prioritise tasks

High standards of confidentiality and professional integrity

A collaborative mindset and willingness to support others

Proficiency in Microsoft Office and other relevant software tools
