Administration Officer – Learning and Teaching (Maternity Leave Contract until 19 December 2025)
This position is offered as a contract to cover a maternity leave period, concluding on 19 December 2025.
The Administration Officer – Learning and Teaching is appointed by the Principal and reports to the Business Manager and the Leader of Learning and Innovation. On a day-to-day basis, the role takes direction from the Director of Learning and Teaching.
As a key member of the College’s professional administration team—working across the Visitors Reception/School Office, Learning and Teaching Office, and the Student and Teacher Support Services Centre—this role provides crucial support to the College’s Learning and Teaching programs.
The position involves administering data systems for assessment and reporting, supporting the operations of the Learning and Teaching Office, and ensuring it remains an efficient and welcoming environment for students and staff alike.
The Administration Officer – Learning and Teaching plays an important role in supporting the College’s Vision and values of compassion, justice, courage, and joy, and is expected to approach their work with a model of Christian service.
Key ResponsibilitiesSupport to Leadership Team

  • Manage calendars and appointments for:

Support for Learning and Teaching Team

  • Distribute agendas and take minutes for Learning and Teaching Team meetings.
  • Update curriculum documentation for the College website and SIMON, including the Horizon Resource Booklet.
  • Maintain V:Drive folders related to Learning and Teaching.
  • Support Learning Diversity Coordinators in staff and student reporting for the NCCD list.

Assessment and Reporting (SIMON System)

  • Manage the Parent Teacher Interview module, including scheduling and communications for interviews and other events.
  • Organise and attend Parent/Student/Teacher Interviews and other Learning and Teaching events, including catering if required.
  • Manage and maintain the College’s SIMON reporting and assessment module.
  • Oversee production of interim and semester reports for Years 7–12 and dynamic reporting via SIMON.
  • Input and extract student data in SIMON for reporting purposes.
  • Develop and modify report templates in consultation with Learning Leaders, Learning Support Coordinators, and the Head of Student Wellbeing.
  • Coordinate Learning Awards analysis and certificate production for Years 7–11.
  • Prepare letters and documents for staff and families regarding reporting timelines and procedures.
  • Liaise with the ICT Team to ensure effective use of SIMON.
  • Manage correspondence related to rescheduled tasks for Years 7–9.

Exam and Testing Administration

  • Coordinate OLMC Year 10–11 exams, including printing, resource preparation, venue bookings, and communication with staff, students, parents, and exam supervisors.
  • Support the administration of NAPLAN testing in collaboration with the Director of Learning and Teaching, including communication with parents and record-keeping.
  • Assist with the administration of ACER and PAT testing, including parent communications, data management, and transferring results to the SPA program where appropriate.

General Office Administration

  • Manage all email correspondence with families relating to Learning and Teaching.
  • Provide relief support for Student Reception, Visitor Reception, and the Pathways Office, as required.
  • Assist with First Aid duties, if needed.
  • Provide additional support to the Pathways Office as required.

Subject Selection Support

  • Support the Director of Learning and Teaching with student subject selection processes, including generating login details and assisting with family communications.
  • Assist in finalising the Year 9 into 10 Subject Selection Booklet.

Professional Practice

  • Identify and recommend process improvements for administrative support services.
  • Attend relevant training programs.
  • Participate in staff meetings and administration team meetings as required.
  • Engage in annual performance reviews.

Child Safety and Wellbeing

  • Comply with the College’s Child Safe Policy, Code of Conduct, and all related procedures.
  • Actively promote and maintain a child-safe environment.
  • Support student wellbeing through proactive monitoring and engagement.

Please note for all Australian based contract and temporary roles only, the pay rate is inclusive of mandatory 25% casual loading. This excludes permanent and fixed term roles.
