We are currently seeking an organised, experienced, and detail-oriented Academic Administrative Assistant to join our dedicated team. In this vital role, you will support both the academic and operational functions of the college, with a primary focus on managing student enrolments and coordinating academic-related enquiries.
Main Accountabilities
· Manage and process student enrolments, ensuring compliance and accuracy
· Respond promptly and professionally to prospective and current student enquiries
· Maintain accurate student records in student management system (RTO Manager)
· Monitor and track enrolment deadlines and milestones
· Implement retention and re-enrolment strategies for continuing students
· Develop and maintain academic term timetables
· Coordinate credit transfers, course variations, and special academic programs
· Support student orientation and induction sessions
· Organise and schedule trial lessons and online classes
· Administer enrolments and updates in LMS (Moodle/Canvas) and SMS (RTOM)
· Update course calendars and support student transition programs
· Manage Zoom accounts for trainers and students in online delivery
· Coordinate enrolment issues and support communication between trainers and students
· Administer trainer access and maintain up-to-date trainer files and PD registers
· Manage student variation requests and approvals
· Coordinate the issuance of qualifications, including Certificates and Statements of Attainment, ensuring accuracy, compliance with RTO standards, and timely delivery to students.
· Provide regular reports on enrolments, completions, and administrative updates
· Participate actively in team meetings and provide regular reports on enrolment and completion status
· Assist the department on various academic administrative tasks
Experience & Skills Required:
· Relevant tertiary qualification and/or equivalent work experience in the vocational education and training
· 2–3 years’ experience in administrative roles within vocational education and training
· Strong working knowledge of Moodle, Canvas, and RTO Manager (RTOM)
· Demonstrated ability to work independently and collaboratively within a team environment
· Familiarity with government funding reporting requirements (e.g., Smart and Skilled)
· High level of proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
· Excellent organisational, time management, and problem-solving skills
· Strong interpersonal and written communication abilities
· A detail-oriented mindset with a commitment to accuracy and compliance
· Understanding of RTO standards and vocational education compliance frameworks
