About us:

Collarts (and its predecessor Ausmusic) began more than 30 years ago with three programs, a handful of students and a small team of dedicated lecturers. Our foundation disciplines were music and audio – a proudly rock and roll start to life.

Operating as Collarts from 2010, today we teach more than 2,000 students from over 30 countries in 4 campuses and 50 high schools. We offer 24 degree programs, 5 vocational certificates and we’re ranked #1 for QILT student engagement for creative industry providers in Australia. We welcome international students from more than 30 countries and host exchange students from China, Germany, France and the USA.

We have some of the brightest minds in industry across all disciplines: ARIA award winners, renowned playwrights, actors and comedians, leading film and screen directors, DOLBY Atmos practitioners, recognised music producers and sound engineers, design and animation award winners, and some of the most experienced and respected event and entertainment academics in Australia.

In 2024 we launched a new Strategic Plan, Creativity on Purpose, with goals focused on reach, engagement, sustainability and quality. The plan represents an inflection point for Collarts, as we find new audiences, launch new online and postgraduate products and work towards University College status. The role:

As the Executive Assistant at Collarts, you’ll be the linchpin for high-quality governance and seamless operations. You’ll coordinate executive meetings with precision—managing agendas, actions, and follow-up—while supporting the executive team through expert diary management, correspondence, travel, and key admin processes. Your knack for organisation and attention to detail will keep our head office running smoothly, from hosting meetings and welcoming guests to handling catering and logistics.

You’ll play a vital role helping track strategic milestones and supporting the delivery of our strategic plan, always looking for ways to streamline processes and boost efficiency. Your reporting assistance will provide valuable insights aligned with our strategic goals, and your collaborative approach will foster strong partnerships across teams. Through timely, purposeful communication and engaging staff initiatives, you’ll help shape a positive, connected workplace culture.

We are looking for someone who has:

A passion for the creative arts industry

Extensive training and experience in business administration.

Proven effective administration skills at executive level, with the ability to prioritise workloads, to maintain confidentiality and attention to detail.

Demonstrated experience exercising discretion and confidentiality with sensitive company information.

Proven initiative and organisational skills of a high order, together with the ability to work independently and flexibly to complete tasks within required timeframes and engage in effective teamwork.

Proven high level interpersonal, oral and written communication skills including the ability to utilise a range of computer programs to produce reports, correspondence and presentations.

Demonstrated ability to communicate sensitively and effectively for proper negotiation and consultation.

Demonstrated strong customer service skills and cultural competency, attention to detail, can-do attitude and culture of serving others with empathy, high quality, excellence and dignity.

Demonstrated ability to coordinate strategic projects, develop, advise and support implementation of recommendations.
