About the role
We are seeking a professional and highly organised Executive Assistant to provide high-level executive and administrative support to our Chief Executive Officer.
This trusted position is central to the smooth and efficient operation of our leadership team and involves close collaboration with the CEO, Board Chair and Executive Team. The role requires someone who can proactively manage priorities, maintain confidentiality, and support governance, compliance and communication functions across the organisation.
You will play a critical role in enhancing our internal processes, supporting our Board and committees, and strengthening our administrative frameworks to ensure Fairview meets all legislative and sector standards.
Key responsibilities include:
Providing timely and efficient executive support to the CEO
Acting as a key point of contact for the CEO, liaising with internal and external stakeholders
Preparing agendas, taking accurate minutes, and distributing meeting papers for executive, staff, sub-committee and Board meetings
Supporting the development and maintenance of governance systems and compliance processes
Drafting correspondence and managing emails, phone calls and meeting requests on behalf of the CEO
Notifying regulatory bodies of key personnel changes and managing governance documentation
Assisting in the preparation of organisational publications, including the annual report
Supporting the coordination of the Annual General Meeting
Assisting in policy reviews relating to Board governance
Undertaking other duties as directed by the CEO
About you
To be successful in this role, you will be an experienced and detail-focused Executive Assistant who can manage multiple priorities with professionalism and discretion. You will bring excellent interpersonal and communication skills, a proactive approach to your work, and a genuine commitment to the aged care and retirement living sector.
You will have:
Experience as an Executive Assistant, Personal Assistant or in a similar role
Experience supporting boards or committees, including the preparation of agendas, reports and minutes
A sound understanding of governance and compliance within an organisation
Excellent time management and organisational skills
Strong written and verbal communication abilities
Excellent relationship management and interpersonal skills
High attention to detail and accuracy
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and the Microsoft 365 suite (including Teams)
Desirable:
Diploma-level qualifications in Business or Administration, or equivalent experience
Experience working in aged care, retirement living, or health services sectors
