About the Opportunity

We need an enthusiastic and motivated Finance and Administration Assistant to help us manage our finance tasks so we can make sure we can continue to grow.

We are a high-growth underfloor heating supply and installation company that is growing rapidly and needs a detail oriented person to help us make sure that we have all our finances in order and our customers are invoiced quickly and pay on time.

You will be able to hone your finance and administration skills with growth opportunities across the company as we expand.

Location and hours for the job

Our office is in Clayton with easily accessible free all-day parking. This is a part time onsite role for 25 hours per week. We have a showroom where customers come to pick up and learn about our products and it is required that you are onsite to support our team and our customers.

The hours for this role are Monday to Fridays 9am – 2pm.

What duties will you be required to do?

The role is broad and varied but you will have key areas of ownership on. The key items that you will be accountable for are;

Being highly organised and manage our accounts payable, receivable, bank reconciliation and payroll processes

Liaising with customers on the phone, via email and face to face to ensure that they have received their invoices and pay them in a timely manner, dealing with any accounts related inquiries promptly.

Managing our customer and finance databases to ensure they are up to date and accurate.

Completing end of month, quarter and year tasks promptly to ensure we meet all our financial requirements.

General administrative duties and customer service support that are needed to keep the office operating like a well-oiled machine

Supporting our team manage customer inquiries and ensure that they are responded to in a timely and professional manner.

What experience will you bring?

Be detail oriented and can problem solve to fix identified issues such as invoices not balancing.

Finance and Administration support in Construction or a Retail Business. These types of businesses are similar to ours and will give you a great foundation to succeed in this role.

We operate Servicem8 and Xero as our primary customer and accounting platform so having experience in these software platforms is highly desirable.

Passion for high quality, accurate work with an interest in delighting customers with great support and follow up.

What skills do you need to bring?

Be able to quickly and accurately enter data into systems, understand the Accounts Payable, Receivable, Bank Reconciliation and Payroll processes.

Be confident in accounting and job management software.

Confident communication skills and the ability to follow up customers that have not paid their invoices in a timely manner.

Ability to deal with a wide range of people, that at times can be under significant pressure

Love making sure that all the I's are dotted and t’s are crossed in a process

Ability to work autonomously and as part of a team

Organised and able to meet deadlines

Ability and willingness to learn and be flexible

Qualifications in administration are desirable but not mandatory
