About On Country Academy
On Country Academy (OCA) is a nationally recognised Registered Training Organisation (RTO), approved by the Australian Skills Quality Authority (ASQA). We specialise in delivering high-quality, culturally responsive training to support Indigenous communities in the delivery of Ranger programs on their Country, often in remote areas.
We specialise in the delivery of courses in environmental management, cultural and heritage sites, and practical and professional skills needed on Country. Our programs support the development and implementation of Healthy Country Plans.
Our training programs are often delivered to communities in the Pilbara, Goldfields, and South-West of WA, as well as having a presence in Bundaberg, QLD.
We are proud to be a sister organisation to Terra Rosa Consulting and actively support internal training for their staff, as well as working in partnership with Flinders University Archaeological Research Centre.
About the Role
Based in our Fremantle head office, the Administration & Compliance Officer will play a central role in supporting the daily operations and compliance requirements of On Country Academy. Your role will be vital in maintaining the integrity of our systems and ensuring ongoing compliance with national standards.
This position is responsible for maintaining the administrative requirements of ASQA and the VET Quality Framework. A key part of this role is managing our Learning Management System, aXcelerate, and ensuring consistent documentation, reporting, and quality assurance processes across the organisation.
This is initially a 0.6 FTE or Casual role with flexibility to grow into full-time or be part of a job-share arrangement in the future. We offer flexible working hours. Occasional travel to training sites across WA is also available, but not required.
You'll work closely with the General Manager, Program Manager, L&D Manager, and Training Manager, and you will oversee Compliance and Administration Officers as part of your portfolio.
Your Key Responsibilities Will Include:
Coordinating and maintaining accurate records in aXcelerate, including student enrolments, training progress, completion records, and trainer qualifications
Supporting the development, implementation, and maintenance of quality assurance policies and procedures
Ensuring compliance with ASWA regulations and other relevant RTO standards
Managing OCA's SharePoint document storage system to ensure key documents and policies are accessible and up-to-date
Assisting with internal audits and continuous improvement processes
Preparing and submitting reports and compliance documentation
Coordinating and delivering staff training related to quality and compliance requirements
Maintaining and regularly updating the trainer matrix, ensuring all qualifications, experience, and professional development records are compliant and complete
Working with academic and training staff to gather feedback and support program enhancements
Investigating and resolving quality-related issues, ensuring complaints are documented and actioned appropriately
Coordinate staff training on quality assurance and compliance matters
Coordinate with trainers and academic staff to gather feedback and implement improvements
About You:

To be successful in this role, you will ideally have:
A strong understanding of RTO compliance requirements (VET Quality Framework, Standards for RTOs)
Demonstrated experience in an administrative role within the education or training sector
Experience with a student management system - aXcelerate experience is essential
Excellent data entry accuracy and attention to detail
Ability to prioritise tasks, meet deadlines, and manage competing demands
High-level written and verbal communication skills
Strong organisational and file management skills
A collaborative and solutions-focused approach to working with staff and stakeholders
The ability to work autonomously and manage competing priorities
A team player with a solutions-focused mindset and commitment to quality and improvement
